Physical Therapy Referral Coordinator

Position Title: Physical Therapy Referral Coordinator
Reports to: PT Director/Office Manager

Job Duties

Patients will receive a packet that contains information about the clinic, clinicians, and what to expect.

Patients are to be scheduled within 48 hours of the date of the script.

RC will log the referral on the inbound excel spreadsheet and fill out the appropriate data.

RC will check to ensure that all POCs, re-evaluations, progress notes, and DC summaries are sent to the physician before to the date of the follow-up visit with the physician or when the particular note is generated(whichever occurs first).

Will track the inbound capture rate on a daily, weekly, monthly, and yearly basis

Patients are scheduled within 48 hours of the date of the script.

RC will fax or email the therapy order and appropriate surgical protocol to the outbound therapy clinic where applicable.

RC will log the referral on the outbound excel spreadsheet and fill out the appropriate data.

RC will check to ensure that all PO Cs, re-evaluations, progress notes, and DC summaries are sent to the physician before the date of the follow-up visit with the physician or when the particular note is generated whichever occurs first)

Will coordinate with the Rehab department to assist with any duties that the RC can perform for the department while at the RC station; though not to interfere with patient services.

Maintains patient confidence and protects operations by keeping information confidential.

Adheres to policies and procedures, federal, state, and local requirements.

Enhances physical therapy department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Updates job knowledge by participating in education opportunities; reading publications, maintaining personal networks; participating in professional organizations.

Greets individuals entering the office. Provides directions, answers questions, and meets a variety of customer service needs.

Answers a high volume of calls and maintains a rapid response rate according to clinic standards.

Document information on calls received where required.

Maintains detailed and accurate records regarding patient information, conversations and interactions.

Accurately schedules patients for PT over the phone and as patient walks in from doctor's office.

Completes appropriate paperwork and gathers insurance information to properly verify benefits for physical therapy as needed

Obtains proper PT orders and medical records to initiate PT.

Inputs patient and insurance data into the computer as needed.

Utilizes statistical tools and reports using spread sheets, Track Via, etc... as needed

Manage, organize and update relevant data using database applications.

Communicate and provide information to other EBEPSC departments as required for proper management of the patient plan of care and per billing guidelines.

Properly file charts when clinician is finished with the treatment as needed

Manage point of service payment collections (Co-pays, Co-insurances, payment on deductibles, and self pays) as needed

Properly operating the copy/fax machine

Using Intergy scheduling software/EMR; scheduling appointments

Scanning of patient information in the Intergy; scanning discharged patient charts
-
Printing fee tickets for the next day as needed

Pulling charts, checking insurance authorizations, getting them ready for the next business day as needed

Making new charts for new PT referrals, checking benefits and getting authorizations for PT appts; checking DME benefits as needed

Balance and close a money collection journal at the end of each business day as needed

Utilizing email and Google chat for interoffice communication
Required

High school diploma or GED certificate
-
Good typing skills
-
Medical Office experience
-
Excellent communication skills
-
Good computer skills; knowledge of word-processing software

Strong ethical and moral character
-
Knowledge of medical terminology

Willingness to support and encourage co-workers
