About the Role

 

The Talent Acquisition Administrative Assistant provides vital administrative and coordination support to the Talent Acquisition (TA) team. This role reports to the Manager, Talent Acquisition and helps drive smooth day-to-day operations of the TA process.

 

 

What You’ll Do

 

  • Schedule candidate interviews, meetings, and assessments with hiring managers.
  • Collaborate with the TA team to review hiring pipelines, monitor updated data in the Applicant Tracking System (UKG) to maintain accurate recruitment trackers, candidate pipelines, and reporting tools.
  • Assist the TA team with pre-employment processes, including background checks and drug screenings,
  • Provide administrative support for recruitment events, career fairs, and outreach initiatives.
  • Conduct preliminary candidate screenings and application reviews when required.
  • Support the Manager, Talent Acquisition with administrative and operational tasks. Assist the TA leader in conducting regular Talent Acquisition audit.
  • Creating purchase orders, invoice processing, and expense tracking for the TA department.
  • Prepare agendas, materials, and notes for TA team meetings.
  • Support TA projects (including hiring manager training) and other ad hoc initiatives as assigned by the TA leader.
  • This role would also provide administrative assistance to HR leadership as needed.

 

Additional Expectations

 

  • Remain compliant with the Code of Conduct and Policies which includes the Kingspan Group Compliance Policy.
  • Ensure that all duties related to product compliance are adhered to in accordance with the Product Compliance Policy, Laws, Regulations, and market demands.
  • Responsible for all tasks to achieve compliance goals and demands of the Compliance Management System.
  • Must raise concerns related to the Compliance Management System with their supervisor, manager, or any member of the Leadership Team, or through the confidential whistle blower service.

 

 

What You’ll Bring

 

  • Associate or bachelor’s degree in any field, with a minimum of 2 years of relevant experience.
  • Experience in administrative support; prior exposure to Talent Acquisition preferred.
  • Excellent organizational skills and strong attention to detail.
  • Effective written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); knowledge of Pivot Tables is a plus.
  • Familiarity with HRIS/ATS systems is advantageous.
  • Collaborative, proactive, and solution-oriented mindset.
