We have an immediate opening for an Office Coordinator responsible for providing administrative and logistical support to the Office Manager and other departments in operations. This role is responsible for daily office tasks, visitor reception, assisting with company tours, and safety tasks and coordinating internal events. The ideal candidate is detail-oriented, customer-focused, and comfortable working in a fast-paced industrial setting.
Key Responsibilities
- Assist Office Manager with day-to-day administrative tasks, scheduling, and recordkeeping.
- Maintain organized filing systems (digital and paper).
- Manage incoming calls, emails, and correspondence, ensuring timely responses.
- Assist in ordering and maintaining office supplies, coordinating with vendors as needed.
- Greet and check in visitors, ensuring compliance with safety and security protocols.
- Prepare visitor badges, PPE, and informational materials for plant tours.
- Coordinate and schedule company tours for clients, partners, and community groups.
- Work with production and safety teams to ensure company compliance is being followed and facility is kept at tour readiness.
- Support the planning and execution of company meetings, employee recognition events, and community outreach activities.
- Coordinate catering, logistics, and materials for events.
- Support facility scheduling for meeting rooms, conference spaces, and event areas.
- Provide support to shipping, quality, and operations by coordinating across departments and handling administrative tasks, as needed.
- Help ensure the front office reflects the company’s brand and professional image.
- Handling other special projects and requests, as needed

In order to be successful, you will need:
- High school diploma or GED; Associate degree preferred.
- 2+ years of administrative or office coordination experience, preferably in manufacturing or industrial environments.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong organizational and time-management skills.
- Excellent interpersonal and communication skills.
- Ability to work independently and as part of a team.
- Comfortable interacting with diverse groups, from factory personnel to executives and external guests.
