In this role you will:
● Prepare and maintain confidential documentation concerning performance evaluations, disciplinary actions, job vacancy postings, job descriptions, grievance procedures, FMLA, accidents (bodily & vehicular), worker’s compensation, leaves of absence, personal requisitions and ordinance procedures.
● Input and track payments on all Commercial Office accounts payable for cash processing, customer service, billing support and mailroom. Generates purchase orders, service contracts, and requisitions.
● Acts as primary timekeeper for the Commercial Office, inputs payroll for civil service and AFSCME 3738 bargaining unit employees, maintains all benefit time for the Commercial Office.
● Maintains accurate records of outgoing payments and balances on service contracts. Prepares specifications, reviews bids, prepares contract awards, and coordinates major projects.
● Track all changes in non-labor budget; calculate, prepare and input all entries; provide technical support to the Commercial Office Manager.
● Assumes responsibility for inventory control of general and specialized office supplies for the Commercial Office, maintains service contracts for payment to multiple vendors, and handles service calls for office equipment.

Qualifications:
The ideal candidate will have strong knowledge of Microsoft Word and Excel, time entry and timekeeping procedures, and Commercial Office policies. They should be proficient in business English, clerical methods, and office management, with the ability to communicate clearly both verbally and in writing. Strong judgment, accuracy in mathematical computations, and the ability to follow complex instructions are essential. Qualifications include a high school diploma with coursework in office procedures, supplemented by additional training in business or secretarial practices, and at least four years of progressively responsible clerical experience—or an equivalent combination of education and experience. Familiarity with database-driven customer systems is required. The candidate must also maintain strict confidentiality regarding all Commercial Office matters.
