We are seeking a motivated and detail-oriented Senior Administrative Associate to join our team. In this role, you’ll provide high-level administrative support to the Leadership Team, assist with programs and projects, and help ensure the City’s operations run efficiently.

What You’ll Do

  • Support the Leadership Team with day-to-day administrative tasks and project coordination.
  • Provide professional and positive customer service to employees, residents, developers, and community leaders.
  • Prepare reports, conduct research, and analyze data to support decision-making.
  • Maintain records and update City website pages.
  • Assist with department budgets, purchasing, and expense monitoring.
  • Coordinate meetings, agendas, and records for boards and commissions.
  • Draft professional correspondence, forms, and public-facing materials.
  • Participate in records management and document imaging.

What We’re Looking For

  • Advanced proficiency in spreadsheets, digital presentations, and professional documents.
  • Strong analytical and research skills with the ability to interpret large volumes of information and evaluate workflows.
  • Experience in municipal government or public sector (strongly desired), including familiarity with municipal budgets.
  • Ability to handle highly sensitive and confidential information with discretion.
  • Proven communication skills with leaders, boards, and the public.
  • Team-oriented mindset with the ability to work independently on moderately complex assignments.
  • Minimum of four years related administrative experience required.
  • Additional consideration for higher education, certifications, or experience in Human Resources, Finance, Accounting, or Office Administration.

Qualifications


Job Qualifications – Education, experience, and training that are required or desirable in order to effectively perform the job at the time of hire. An equivalent combination of education, training, and experience will be considered. Additional requirements and/or substitutions may be requested and require the approval of HR.

  • High school diploma required.
    • Additional job experience may be considered in lieu of education. 
  • Minimum of four years of related experience required 
    • Additional job-related degrees or certifications may be considered in lieu of experience.
  • Prior experience in Human Resources, Finance, Accounting, Procurement, or Office Administration is desired.
  • Valid driver’s license required.

Knowledge, Skills, and Abilities – May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with this position.

  • Knowledge of City operations, policies, and procedures. 
  • Ability to provide exceptional service to internal and external customers. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Attention to detail and the ability to maintain focused concentration.
  • Proficiency in the use of basic business software (word processing, spreadsheets, email, presentations) and basic office equipment.
  • Ability to create documents, spreadsheets, presentations, flyers, and graphics.
  • Ability to produce reports, enter data for budgets, and process purchase orders through the City’s financial software.
  • Ability to collect data, analyze subjects, and research information.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously. 
  • Ability to effectively organize and prioritize routine and non-routine tasks to meet deadlines.
  • Ability to concentrate on multiple tasks simultaneously and to follow through on processes from end-to-end. 
  • Ability to work independently with moderate or little supervision on moderately complex assignments and projects.  
  • Ability to anticipate and complete tasks based on defined processes and timelines.
