GENERAL SUMMARY OF DUTIES: 

Responsible for greeting patients/customers, assisting provider with patient care, clerical and organizational tasks. Responsible for appointment scheduling and chart management. (Scheduling follow ups, appointment reminders, verify insurance coverage for audiology services/hearing aids, collecting payments, filing notes in patient charts, filing insurance) Provides information to patients so they can fully utilize and benefit from the clinic services. Conveys a positive image of the clinic. Will be assigned to specific audiology needs to help with patient care. 


SUPERVISION RECEIVED: 

Reports to Audiologist or Practice Manager.

ESSENTIAL FUNCTIONS: 

1. Greets patients in polite, prompt, helpful manner. Provides any necessary instructions/directions. Informs provider of patient’s arrival. 

2. Completes necessary paperwork, such as encounter forms/documents. Uses computer system to generate appropriate forms. 

3. Updates patient hearing aid information and provides any necessary forms for completion. 

4. Maintains clean, orderly waiting area and exam/procedure rooms. 

5. Supplements office staff as task permit, making copies, inputting information, collecting payment and scheduling appointments. 

6. Checks and maintains audiology supplies as assigned by audiologist. 

7. Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow, accompanying patients to exam/procedure rooms, collect patient hearing history/supply needs as well as , assist with cleaning/prep for device, relaying instructions to patient/patient family, answering calls and providing pertinent information. 

8. Fulfills clerical responsibilities as assigned, which may include: sending/receiving patient medical records, referral information, completing forms as needed, scheduling appointments, verifying insurance coverage for audio benefits, managing documents and ensuring information is completed and filed appropriately. 

9. Fulfills environmental responsibilities as assigned, which may include: setting up instruments and equipment according to department protocol, cleaning exam room/procedure room, instruments and equipment between patient visits to maintain infection control, restocking rooms. 

10. Fulfills organizational responsibilities as assigned, which may include: 

respecting/promoting patient rights, sharing problems relating to patients and/or staff with immediate supervisors quickly. 

11. Maintains HIPPA compliance at all times. 

12. Attends meetings and communicates with other office staff as necessary. 

13. Such other and further responsibilities as may be deemed necessary. 

Requirements

  

EDUCATION: 

High school diploma, some college preferred. 


EXPERIENCE: 

Minimum one year experience in customer service setting, preferably in public contact job. Experience in health care or practice setting. 


REQUIREMENTS: 

50 wpm typing skills preferred. Ability to work directly with patients. 


KNOWLEDGE AND SKILLS REQUIREMENTS: 

1. Knowledge of health care field and audiology. 

2. Knowledge of specific tasks related to audiology. 

3. Knowledge of office equipment including phone, computer, and audiological machines. 

4. Skills in customer service principles by creating a pleasant atmosphere. 

5. Ability to communicate clearly in person and on the phone to establish/maintain cooperative relationships with patients, families, physicians, staff and other customers. 

6. Knowledge of information that must be conveyed to patients and families. 

7. Skills in performing task appropriately. 

8. Skill in tact and diplomacy in interpersonal interactions. 

9. Skill in understanding of patient education needs by effectively sharing information with patients and families. 

10. Ability to learn and retain information regarding patient care procedures. 

11. Ability to project a pleasant and professional image. 

12. Ability to plan, prioritize and complete delegated tasks. 

13. Ability to demonstrate compassion and caring in dealing with others. 

14. Ability to read, understand and follow oral and written instructions. Can file correctly in alphabetical or numerical systems. 


ENVIRONMENTAL/WORKING CONDITIONS: 

Office setting, well ventilated and well light. Combination of medical office and exam/procedure room settings. 


PHYSICAL/MENTAL DEMANDS: 

Sitting/standing for long periods of time. Requires eye-hand coordination, finger dexterity. Must be able to view computer screens for long periods. Occasional stress related to workload and customers with problems. When necessary must be able to use appropriate body mechanics when assisting patients with transfers and walking.
