Position Summary: We are seeking a proactive and organized Facilities Coordinator to support the day-to-day operations of our facilities. This role is responsible for coordinating maintenance schedules, managing inventory and supplies, handling vendor communications, and ensuring that our facilities are safe, functional, and well-maintained. The ideal candidate is detail-oriented, a strong communicator, and capable of juggling multiple priorities in a fast-paced environment

Essential Duties (other duties may be assigned):
Scheduling & Coordination

Coordinate preventive maintenance and repair schedules for building systems and equipment.
Manage calendar and logistics for facility-related services, inspections, and contractor visits.
Serve as the point of contact for facility access and room setups.

Inventory Management

Maintain inventory of facility supplies
Track usage and reorder supplies to avoid shortages or overstocking.
Ensure storage areas are organized and compliant with safety standards.

Vendor & Contractor Management

Communicate with vendors, service providers, and contractors to coordinate work and monitor service quality.
Monitor performance and address issues or delays.

Facility Operations

Conduct regular walkthroughs to identify maintenance needs, safety hazards, or improvement opportunities.
Assist with minor repairs or work with Facilities Manager to coordinate with appropriate outside professionals.
Support workplace safety initiatives and ensure compliance with regulations.

Administrative Support

Maintain accurate records of maintenance logs, purchase orders, and invoices
Help with budgeting and expense tracking for facility-related costs.
Assist with emergency preparedness planning and response.

Education/Experience Required:

High school diploma or equivalent.
Previous experience in facilities work preferred but willing to train a motivated person.
Must be able to communicate effectively as well as possess a strong ability to work well with others.
Ability to follow instructions and work independently.
Ability to work occasional evenings and weekends.
