Bilingual Receptionist (English/Spanish)

Job Title: Bilingual Receptionist (English/Spanish)
Summary: Responsible for routing incoming telephone calls, forwarding messages and faxes, receiving guests, and providing general administrative support. Ideal candidate should have bilingual Spanish communication skills.
RESPONSIBILITIES:
- Answer all telephone calls promptly in a polite and professional manner (no more than 3 rings).
- Forward calls and messages in a timely manner.
- Take accurate messages from callers including the name of the caller, the company name, the telephone number, the time and date of the message, and a message from the caller (optional). All messages should be forwarded to employees promptly.
- All customer calls should be responded to immediately. Drivers do not always respond to their radios/phones promptly, therefore, any customer calls or other urgent calls should be followed up on immediately.
- Provide backup to Office Manager and assist with receiving drivers, settle-up paperwork and other administrative duties.
- Receive guests or vendors and advise employees that they have a visitor. Visitors should be restricted to reception area unless accompanied by an employee.
- Assist job applicants and/or new employees with completion of applications or payroll forms. For new hires, set up a new employee file, and forward to Human Resource Dept. Review the forms to ensure that they are accurate and complete before forwarding them to the HR Dept. Forward applications to Division Manager for review.
- Handle incoming calls from customers and assist with the resolution of any of their concerns.
REQUIREMENTS:
- Bilingual and fluent in Spanish/English
- Six (6) months to one (1) year customer service experience or related experience performing office/clerical duties.
- Excellent phone etiquette skills required.
- Effective verbal and written English communication skills.
- Demonstrated skills in Microsoft Word, Excel, Power Point and Outlook, Internet and Intranet navigation.
