Responsibilities
- Manage executive team calendars, including scheduling meetings, coordinating travel arrangements, and ensuring effective time management. Serve as liaison between executives, staff, and external partners, handling communications with discretion and professionalism.
- Support project-based work by conducting research, preparing documentation, tracking progress, and assisting with timely completion of deliverables. Coordinate meals, snacks, and catering for meetings, events, and the executive team.
- Monitor and maintain office organization, facilities, and vendor relationships; coordinate and order office supplies, equipment, and services to ensure an efficient workplace.
- Provide comprehensive administrative support to executives and project teams as needed.
- Assist with HR administration, including coordinating onboarding and offboarding processes and supporting recruitment activities such as job postings and interview scheduling.
Qualifications
Preferred Education / Experience:
- Proven experience in office management, executive support, or administrative coordination.
- Strong organizational and multitasking abilities with excellent attention to detail.
- Proficiency with calendar management tools, Microsoft Office Suite, and collaboration platforms (e.g., Teams, Zoom, Slack).
- Excellent communication and interpersonal skills with the ability to interact at all levels of the organization.
- Ability to handle confidential information with discretion and professionalism.
- Proactive problem solver with a high degree of initiative and adaptability.
Preferred Education / Experience:
- Associates Degree in related discipline
- 1+ year or;
- A combination of education and experience equivalent to above
