About the Department
Position Duties
Budget and Financial Management
- Liaise with the Division Chief and Financial Management Unit on all budget and procurement matters.
- Assist with preparation, monitoring, and adjustment of the Division’s annual budget and budget narration.
- Develop and review the annual PACE Spending Plan for the year; track requisitions, inventory, and purchase orders.
- Support budget projection compilation, compliance reviews with FMU, and procedural updates.
Procurement and Contract Administration
- Manage contract documentation and vendor performance.
- Assist Unit managers with P-Card reconciliation.
Performance Measures and Reporting
- Compile monthly and report out annually, the division’s Performance Measures.
- Prepare reports, maintain records, and draft administrative documents.
Executive and Administrative Support
- Draft formal correspondence, memoranda, and briefing documents for the Division Chief.
- Support the Division Chief with meeting preparation, talking points, and follow-up action tracking.
Office Operations
- Assist with the Office Division Chief with training coordination for the divisi
- Handle confidential information and coordinate with internal and external stakeholders.
- Perform other duties as assigned.
Preferred Skills:
- Strong knowledge of budgeting, procurement, and financial reporting processes
- Experience developing and managing spending plans and purchase orders
- Familiarity with contract administration and vendor management
- Proficiency with financial systems, Microsoft Excel, and database tools
- Ability to analyze financial data and provide cost-saving recommendations
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to manage confidential information with discretion
- Experience with performance measurement tracking and reporting
- Ability to coordinate cross-functional efforts and support general office operations
Minimum Qualifications
Minimum Qualifications (MQs):
1. Bachelor's Degree in Human Resource Management, Finance, Business or any related field.
2. One (1) year of experience in human resource management, finance or any other related area of business administration.
3. An equivalent combination of education and experience may be substituted, which together total 5 years.
