The Administrative Specialist is the glue that holds the office together! Our Lamar office in Windsor, Connecticut is now hiring a new team member to help us bring outdoor advertising campaigns to life for brands in Hartford, CT and the surrounding areas.
The purpose of the Administrative Specialist II is to provide administrative, clerical, and receptionist support to the various departments. It will work closely with the Office or Business Manager to ensure that the office functions efficiently and effectively by assisting or ordering production, POP, billing, and social media.

What we are looking for in you:
- Demonstrates exceptional proficiency in both written and verbal English communication.
- Skilled in interacting effectively with individuals from diverse social, cultural, economic, and educational backgrounds.
- Maintains meticulous attention to detail in composing, typing, and proofreading materials, while effectively prioritizing tasks and meeting deadlines.
- Exhibits a strong work ethic characterized by professionalism, responsibility, and a proactive approach.
- Capable of working independently as well as collaboratively within a team.
- Proficient in using Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Competent in operating office equipment such as fax machines, copiers, scanners, and binding machines.
- Adept at managing daily challenges and prioritizing tasks to meet varying demands.
Education and Experience:
Required:
- High school diploma or Equivalent.
- Or another equivalent combination of education and experience.
Preferred:
- Associate's degree and/or bachelor’s degree (in Business, Marketing, or another related field).
- Current and valid driver's license.

A day in the life:
- Ensure timely completion of all online and manual Proof of Performance (POP) reports to meet corporate deadlines.
- Download and upload daily photos into the POP system.
- Email POP photos to Account Executives (AEs) and/or directly to clients upon request.
- Draft and enter contracts into the billing system efficiently.
- Support office marketing efforts, including managing social media activities as needed.
- Provide administrative support similar to Administrative Specialist I, including tasks such as proofreading, typing, and operating office equipment like calculators, fax machines, and computers.
- Serve as an administrative assistant, handling phone calls, routing messages, and addressing inquiries from the public, customers, and visitors with a focus on customer service.
- Manage outgoing mail and receive deliveries.
- Assist with accounts payable and receivable tasks, providing clerical support without full responsibility.
- Oversee and facilitate the ongoing activities and internal communications related to advertising campaigns to ensure timely and contractual execution while maintaining excellent customer service.
- Keep Account Executives and customers informed about the status of advertising campaigns.
- Manage and review campaign progress, ensuring delivery of customer installation and proof of performance information.
- Coordinate and secure client approvals for artwork and communicate panel locations when necessary.
- Resolve campaign-related issues by identifying solutions and notifying Account Executives, managers, and customers.
Physical Demands and Work Environment:
- The primary work environment for this position is the office.
- The physical demands for this position include light lifting, seeing (with a focus on reading, acuity, depth perception, and peripheral vision), sitting more than 50%, and talking.
- Nights spent traveling, away from home, are less than 10%.
