Position Summary
The Campaign Assistant will play a critical administrative and coordination role on the Development team during an active capital campaign. Reporting to the Director of Campaign and Strategic Initiatives and supporting the Chief Advancement Officer (CAO), this role serves as the administrative hub for the campaign team, ensuring meetings, communications, and operations run smoothly.

This is an in-person role based primarily on our Basking Ridge campus. It’s a strong match for candidates with executive assistant or project coordination experience, especially those coming from law firms, marketing agencies, or other fast-paced professional settings.

The ideal candidate for this role is a highly capable and poised professional who thrives in a fast-paced, mission-driven environment. They will bring a service-oriented mindset and the ability to support senior leadership with discretion, efficiency, and sound judgment. As a central coordinator within the capital campaign team, this person will be both detail-oriented and big-picture aware, keeping day-to-day operations moving while helping the team stay aligned on long-term goals.

Responsibilities

Executive Support:

  • Serve as executive assistant to the CAO: manage calendar, book travel (e.g., car service to regional events), and coordinate meetings.
  • Draft and enter contact reports following donor meetings, particularly those conducted on the road.
  • Prepare detailed briefing materials for CAO and Head of School in advance of meetings.

Campaign & Donor Support:

  • Support Director of Campaign & Strategic Initiatives and three Major Gift Officers in daily coordination and communication.
  • Facilitate stewardship touchpoints by working closely with the Director of Stewardship.
  • Attend and help prepare for prospect management meetings; track follow-ups and check in with team members on status updates.

Budget and Operations:

  • Oversee annual budget reconciliation and itemization for the Development Office.
  • Maintain relationships with professional associations and manage related organizational dues and memberships.

Meeting & Event Planning:

  • Plan and manage agendas for key internal meetings and check-ins.
  • As the campaign progresses, help coordinate small-scale events such as donor dinners or receptions in collaboration with the events team.

Skills & Attributes

  • Highly organized and detail-oriented, with excellent follow-through.
  • Strong written and verbal communication skills; able to represent the office professionally with a wide range of stakeholders including donors, school parents, and faculty.
  • Discreet and trustworthy with confidential information.
  • Self-starter who can manage up and proactively communicate status updates.
  • A collaborative teammate, able to adapt to a fast-paced environment and support evolving campaign needs.

Qualifications

  • A bachelor's degree is required. 
  • Prior experience in an administrative, executive assistant, or project coordination role, ideally in a fast-paced, professional setting (e.g., law firm, marketing agency, nonprofit, or school).
  • Demonstrated ability to manage complex calendars, coordinate logistics, and support senior-level leadership with professionalism and discretion.
  • Strong organizational skills and attention to detail, with the ability to prioritize multiple tasks and meet deadlines.
  • Clear and confident communicator, both in writing and in person, with a professional demeanor.
  • Enthusiasm for working collaboratively as part of a team and contributing to a positive, inclusive work culture.
  • Robust interpersonal skills.
  • Comfortable using technology in daily workflows, including platforms like Veracross, Zoom, and the full Google Suite (Gmail, Drive, Calendar, etc.).
  • Genuine enthusiasm for contributing to a school community where every role is student-facing, and a commitment to fostering a culture of access and equity for all community members. 
  • In addition to honor and character, commitment to intellectual engagement, and appreciation for stewardship and sustainability, especially important is the candidate’s ease with diverse constituencies and demonstrated commitment to an inclusive school community.

The salary range for this position is $60,000-$75,000. Final compensation will be determined based on experience and education.
