JOB GOALS: Under general supervision, performs administrative work for the Department and performs other duties as assigned.
- Organize and coordinate a wide variety of office functions related to the administration of diverse programs and operations at a school.
- Prioritize and schedule duties and assignments to assure efficiency and effectiveness and to meet established timelines.
- Communicate with District personnel to coordinate school operations and maintenance.
- Compute, record, and proofread data and other information, such as records or reports.
- Answer office phones, direct calls, and take messages or transfer calls to appropriate individuals.
- Operate office equipment such as fax machines, copiers, and phones, and use computers for spreadsheets, word processing, database management, and other applications. Troubleshoot problems involving office equipment.
- Submit orders and requisitions, communicate with vendors, maintain budget and bookkeeping documentation as directed by the Department Supervisor.
- Complete and mail bills, contracts, policies, invoices or checks.
- Addresses standard inquiries by letter, phone, email, fax or personal contact.
- Complete work schedules, manage calendars, and arrange appointments.
- Prepare meeting agendas, attend meetings, and record as assigned.
- Process and prepare documents, such as business and government forms.
- Assist with management, retrieval, and destruction of records within established guidelines.
- Maintains confidentiality of records.
- Greet and assist students, staff, parents/guardians, and any other visitors as needed.
- Prepare, create, and compose letters, reports, and other documents for the school/department or instructional programs;
- Establish and maintain cooperative and effective working relationships with others.
- Work confidentially with discretion and adheres to the appropriate code of ethics.
- Perform special projects as required.
- Other duties as assigned.
QUALIFICATIONS:
- High school diploma or equivalent, related school or office experience
- Knowledge of office procedures
- Ability to use office equipment, computers, and technology proficiently
- Must possess data entry skills
- Must have excellent oral communication skills
- Must be able to work well with others
- Ability to exercise good judgment and common sense
- Ability to manage multiple tasks simultaneously and under pressure with accuracy and accountability
- Ability to make decisions and solve problems
- Demonstrated aptitude and competence for other assigned responsibilities
Rate of Compensation: In accordance with AFSCME Clerical Collective Bargaining Agreement
