JOB GOALS: Under general supervision, performs administrative work for the Department and performs other duties as assigned.

  • Organize and coordinate a wide variety of office functions related to the administration of diverse programs and operations at a school. 
  • Prioritize and schedule duties and assignments to assure efficiency and effectiveness and to meet established timelines. 
  • Communicate with District personnel to coordinate school operations and maintenance.
  • Compute, record, and proofread data and other information, such as records or reports.
  • Answer office phones, direct calls, and take messages or transfer calls to appropriate individuals.
  • Operate office equipment such as fax machines, copiers, and phones, and use computers for spreadsheets, word processing, database management, and other applications. Troubleshoot problems involving office equipment. 
  • Submit orders and requisitions, communicate with vendors, maintain budget and bookkeeping documentation as directed by the Department Supervisor. 
  • Complete and mail bills, contracts, policies, invoices or checks.
  • Addresses standard inquiries by letter, phone, email, fax or personal contact.
  • Complete work schedules, manage calendars, and arrange appointments.
  • Prepare meeting agendas, attend meetings, and record as assigned.
  • Process and prepare documents, such as business and government forms.
  • Assist with management, retrieval, and destruction of records within established guidelines. 
  • Maintains confidentiality of records.
  • Greet and assist students, staff, parents/guardians, and any other visitors as needed.
  • Prepare, create, and compose letters, reports, and other documents for the school/department or instructional programs; 
  • Establish and maintain cooperative and effective working relationships with others.
  • Work confidentially with discretion and adheres to the appropriate code of ethics.
  • Perform special projects as required.
  • Other duties as assigned.

 

QUALIFICATIONS:

  • High school diploma or equivalent, related school or office experience
  • Knowledge of office procedures
  • Ability to use office equipment, computers, and technology proficiently
  • Must possess data entry skills
  • Must have excellent oral communication skills
  • Must be able to work well with others
  • Ability to exercise good judgment and common sense
  • Ability to manage multiple tasks simultaneously and under pressure with accuracy and accountability
  • Ability to make decisions and solve problems
  • Demonstrated aptitude and competence for other assigned responsibilities

 

Rate of Compensation:  In accordance with AFSCME Clerical Collective Bargaining Agreement
