Job Description: Medical Assistant level 3.-Pharmacy and Care Teams Coordinator
Reports To: Back Office Supervisor
Status: Full-Time, Non-Exempt
PositionSummary: The MedicalAssistant assists the physician(s) in preparing patients to be examined, andfor setting up the examining rooms, assist with paperwork and works withpharmacy and provider closely in authorizing medication refills. The IHC is a Patient Centered Health Home andall employees are an integral part of this model of care delivery.
Duties& Responsibilities:
- Sets up theexamining rooms and prepares patients to be seen by the medical provider
- Performs routineback office clinical tasks as follows:
- Vital signs, chief complaints
- Simple Lab: HET,AU, UPT, EKG and others as needed
- Keeps instrumentsand examining rooms clean and orderly
- Sterilizesinstruments
- Knowledgeableabout daily procedures as per available protocols
- Assistingproviders during scope exams or procedures
- Helps with filling of Prior Authorization forms under the guidance of physician
- Answers phone calls and helps with scheduling appointments for providers, transfers calls to the assigned RN if cannot help patient with questions or if there is triage question.
- Participate in recall activities for patients who have not completed or are due for tests .
- Process pharmacy medication refill requests under the guidance of a provider.
- Requests ER records for patients seen in the ED.
- Fills out forms/paperwork for Incontinence supplies, DME. , etc Faxes necessary documents and follows up with approval process untill authorization has been obtained.
- Helps filling in Vaccination records, pertinent vitals, hearing and vision screen results in childhood physical school forms for providers to sign off on.
- Assists patients when their medication is not covered by insurance by calling pharmacy and the health plan to find out alternatives.
- Serves as the backup Flow Coordinator
- Assists inobtaining data or reports for keeping monthly statistics
- Assists in othersupportive services as necessary for the orderly flow of patients, such as,keeping charts orderly, assists in pulling and filing charts, as needed
- Attends regularstaff meetings
- Assists patientswith filling out questionnaires
- Is knowledgeableabout immunization schedules workflow protocols, safe administration techniques, storage and handling ,correct IZ documentation, and collects appropriate datafor entry into the computer for follow-up of immunizations
- Assists withtracking and rescheduling of patients as per protocol
- Is knowledgeableabout patient education handouts
- Comply with IHC’sHIPAA, and Privacy’s Policies
- Participate as aproactive representative of the Patient Centered Health Home
- Perform dutiesutilizing the Team-Based Approach
- Performs otherduties as assigned
RequiredQualifications, Knowledge & Abilities:
- High schooldegree or equivalent required with a medical assistant certification or uponsuccessful completion of an externship at IHC
- Fluent inEnglish/Spanish and computer skills a plus
- A minimum of twoyears experience working as a medical assistant in a health care setting
- Ability to liftand carry 20 lbs required
- Ability to standand/or walk for extended periods of time required
- Excellentorganizational and customer service skills
- Ability to followwritten and oral instructions and learn new procedures quickly
- Ability to staycalm while working quickly and with a high degree of accuracy
- Flexibility,initiative, and reliability
- Knowledge of& ability to work with the American Indian community & other minoritypopulations
- Ability tomaintain strict confidentiality
- Ability tofunction independently and as a team member within diverse environments as wellas with a diverse staff composition.
- Demonstratedability to perform multiple administrative functions simultaneously in anaccurate, organized, & efficient manner. Ability to multitask & thrivein a fast-paced, constantly changing environment
- Ability to carryout all responsibilities in an honest, ethical & professional manner anddemonstrate good judgment
Physical Requirements:
- Ability to sit, stand and walk for extensive periodsof time
- Manual and finger dexterity and eye-hand coordinationfor nursing care
- Ability to lift up to 35 pounds
- Ability to stoop, squat, or bend frequently
- Corrected vision and hearing within normal range toobserve and communicate with patients and professional staff
Working Conditions:
Exposure toall patient elements, including communicable disease and blood bornepathogens. Will be working in a fastpaced medical environment which can be stressful and constantly changingconditions. Normal working hours are from 8:00 am until 5:00 pm with one hourfor lunch. However, working hours may vary depending upon need. Will need to be flexible in performing tasks with limited discretion in making judgment decisions.
