Summary of Position
To provide quality customer service to Quail Run homeowners, members, tenants, and guests; professionally manage the front and pool desk, while ensuring the highest standards of service and excellence.
Essential Duties
Support club administration by acting as the first point of contact in the clubhouse. Act as an ambassador to all Homeowners, Members, and Guests by providing a warm welcome, personal greeting, answering questions, giving directions, directing phone calls, and following up to ensure that expectations are met or exceeded. Provide fellow associates with information regarding membership changes, member complaints, and issues. Effectively distribute documents and forms to ensure that all departments are aware of Membership changes.
- Promptly answer all incoming telephone calls and direct them to the proper location
- Provide excellent customer service to our homeowners, members, tenants, and guests by answering any questions accurately or by professionally solving problems
- Provide accurate information on the ‘Room Count’ and distribute in the proper mailbox of their receipt daily
- Issue and manage homeowner/member forms and collect fees as needed: pet registrations, guest forms, visitor forms, parking stickers, membership/homeowner cards, and address update forms per guidelines
- Maintain an accurate account balance in the cash box; Responsible for selling stamps for cash to clientele
- Provide fax/copy/FedEx/UPS services for an appropriate fee
- Managing mail/or materials to be picked up by homeowners, members, or management
- Accurately complete check logs of receivables from homeowners and members and catering and any other parties that do business with Quail Run, process accurately daily within established procedures
- Receive payments, date stamp checks for receipt verification, and prepare checks for bank deposits daily
- Run credit card charges for monthly statement charges as requested
- Take accurate restaurant reservations for brunch, dinner, and special events
- Maintain a supply of both membership and property management brochures
- Assist with all bulk mailings, statement folding and stuffing envelopes, etc.
- Update dining events calendars that are on display at the front desk
- Update any other information in the general information book
- Assist the controller with data entry of budget items
- Review and reconcile contractor tickets and commission requests
- Greet incoming guests to the Health Club
- Register attendance and check identification
- Record guest information and charges
- Make appointments for esthetic services
- Handle tennis court reservations and information
- Sell Health Club products
- Keep accurate inventory and reconcile monies
- Provide information on Health Club activities and programs
- Enforce Health Club rules in a diplomatic manner
- Provide coverage for breaks, absences, and/or as delegated
Miscellaneous
- Organize newspapers in appropriate areas
- Assist other departments with special projects
- Assist with front desk special projects that may occur (i.e. holiday event projects)
- Maintain a clean and organized Reception Desk
- Support all Quail Run Company Policies and Procedures
- Ensure that all legal requirements are consistently adhered to

Physical Demands
Frequent lifting and/or carrying of objects weighing up to 30 lbs. Requires waiting, walking, bending, stooping, reaching, handling, carrying, and lifting objects, talking, and listening. Requires working in an indoor pool environment and an office environment.
Requirements:
Experience working with the public; exceptionally strong in verbal communication, customer service, and interpersonal relations; exhibit professionalism, enthusiasm, and cheerfulness; Proficient in MS Office 365 to include but not limited to Word, Excel, and SharePoint; data entry experience; work flexible hours, weekends, nights, and holidays.
