- Position: Supporting Documentation Manager
- Location: Roseville, MN
- Schedule: Full Time
- Hours: Monday-Friday, 8am-5pm, additional hours as needed
- In office for training, hybrid schedule following
THE POSITION: The Supporting Documentation Manager provides direction and feedback to supporting documentation and medical records staff, ensuring that exceptional customer service is provided at the highest level to all customers. The position assist the manager leading the team to successfully help customers. The Supporting Documentation Manager may perform routine customer service tasks as needed.
- Perform department 1:1 meetings with assigned staff
- Oversee the Online Ordering (as applicable)
- Coordinate and conduct meetings with your department
- Coordinate staff schedules to ensure adequate coverage
- Address/follow up on all continuous quality improvements initiatives that pertain to the specific department
- Participate in EHR development and utilization, as well as any PIG meetings that pertain to your department
- Work with supervisor to develop and implement training protocol
- Complete and analyze audits pertaining to your departments and make recommendations for improving processes
- Identify/implement new audits that would assist with improving the overall quality/efficiency of your departments
- Review/update work instructions and policies that are specific to your department
- Monitor internal processes and assist with requests that have been problematic
- Meet with supervisor on a regular basis regarding needs/concerns and day-to-day operations of the department
- Assist with the day-to-day job duties of the department
- Maintain a cohesive work environment with all departments at PHS
Administrative Functions:
- Document pertinent information on the patient�s records
- Demonstrate competency in identified areas
- Adhere to PHS policies and procedures and standards placed by other appropriate regulatory groups
- Maintain compliance with HIPAA and PHS requirements regarding internal and external electronic medical record (EHR) access
Supervisory Responsibilities:
- Supervise assigned staff
- Interview, hire, and train employees
- Plan, assign, and direct work
- Appraise performance, reward, and discipline employees
- Address complaints and resolve problems
Qualifications:
- Minimum 10 years of insurance experience with a strong focus on obtaining and managing prior authorizations.

5+ years of leadership experience in healthcare, DME, or insurance operations (preferred).

Proven ability to navigate payer portals/websites to verify eligibility, benefits, and authorization requirements.

Demonstrated success in driving process improvements to reduce controllable write-offs, ensure medical necessity, and strengthen compliance.

Expertise in interpreting and applying payer medical policies to support accurate authorization and billing practices.

Experience in developing, maintaining, and optimizing Standard Operating Procedures (SOPs) and other operational tools to guide Supporting Documentation team workflows.

SALARY RANGE:
At PHS, we are committed to providing specialized care for medically complex children. Every role, from direct patient care to customer support, plays a vital part in improving the lives of kids and families. The impact you make is invaluable. We are dedicated to offering fair and transparent compensation to our team members. The range for this role is $80,000 to $91,000 annually, based on experience and qualifications.
