POSITION SUMMARY
The Accounts Payable Specialist is responsible for finance/accounting functions outlined below.
RESPONSIBILITIES
Performs certain day-to-day accounting functions as assigned including:
- Codes and enters invoices into the AP processing system.
- Scans invoices into the AP processing system.
- Sends invoices through automated workflow to proper approver.
- Monitors AP workflow approval daily and follows up on required approvals.
- Maintains and organizes AP inboxes.
- Communicates with department coders to ensure proper coding & processing of invoices; provides training and coaching to department coders as necessary.
- Reconciles monthly vendor statements to ensure all invoices have been processed.
- Collects W9 from new vendors and provides to Staff Accountant to add new vendor.
- Monitors monthly bank statement activity to ensure proper payment to vendors.
- Reaches out to vendors to reconcile account balances or resolve other issues.
- Initiates payments to online vendors.
- Processes AP checks; one regular check run each week; cuts urgent checks as necessary.
- Ensures expenses are posted to the correct GL account.
- Reconciles expense clearing account on a monthly basis.
- Manages annual 1099 process – verifies 1099 vendors, uploads data into 1099 software, prepares and mails 1099s, and files 1099s with the IRS.
- Performs account research as requested.
Requirements
MINIMUM QUALIFICATIONS
- Accounting, finance or economics degree preferred.
- A combination of education and job-related experience can be substituted.
- Strong written and verbal communications skills.
- Ability to analyze accounts, reconcile invoices.
- Fast and accurate data entry.
- Intermediate to advanced skills with Microsoft Office Suites, especially with Excel.
- Accounts Payable System experience.
- Must be a Christian holding to the beliefs set forth in the Statement of Faith, expressed by a personal testimony and Christian conduct.
NOTE: A limited amount of work-related travel may be required.?
