We are seeking a Client Service Associate at our Deerfield, Illinois wealth management family office firm.  This position will provide administrative support to Private Client Group Advisors, serving as the first point of contact for clients or prospects while providing a wide range of relationship management and administrative support for individuals, entities, and trusts.  


This position offers work from home availability 1-2 days per week after initial orientation period.


Position responsibilities:     

  • Preparation of various reports
  • Tax Return filings and correspondence
  • Prepare and mail estimated tax payments
  • Provide administrative support to the tax department to promote efficiency and client satisfaction
  • Process annual filings
  • Prepare and submit payroll forms
  • Preparation of deposits and bill paying
  • Work with Investment Advisor on new investments. Prepare subscription documents, obtain signatures and email along with supporting documents
  • Coordinating information with other professionals
  • Office organization, filing, scanning of documents to the client directory and electronic file creation, process all mail, email, voice messages, fed ex,
  • Facilitate investment account transactions at Fidelity such as opening and closing brokerage accounts, transferring assets, money movement, charitable gifting, trust distributions, and general account administration
  • Track and reconcile client account balances to ensure sufficient funds for bills and upcoming charges 
  • Produce monthly, quarterly, and ad hoc transaction reports from Quicken and / or Quickbooks 
  • Communicate directly with clients and other professionals 
  • Develop a thorough knowledge of an assigned client base
  • Complete other family office services as assigned

Requirements

  

Essential skills and experience:

  • BS/BA degree in Business, Finance or related field, or equivalent experience
  • Experience with a wealth management or CPA firm is preferred but not required
  • Experience with processing individual, partnership or trust income tax returns is preferred but not required
  • Ability to organize and manage multiple priorities in a demanding environment where time management, attention to detail, follow through, and meeting deadlines are critical
  • Excellent computer proficiency (e.g. Word, Excel, Adobe, and Outlook, Quickbooks, Docusign)
  • Strong client orientation
  • Excellent interpersonal and communication skills
  • Strong project management and decision-making skills
  • Team player mentality
