EXECUTIVE ASSISTANT to the Executive Director – (Full-Time)

THE POSITION
The Executive Assistant provides high-level administrative support to the Executive Director of the Airport Authority, serving as a trusted liaison between the Executive Director, the Board of Directors, airport staff, community stakeholders, government agencies, and industry partners. This position requires exceptional discretion, organizational skills, advanced technical skills, and the ability to manage a dynamic workload in a fast-paced, high-visibility environment.
Some of the position duties include:
- Manage the Executive Director’s daily calendar, including scheduling meetings, conferences, and travel arrangements. Assist with expense reporting.
- Draft, proofread, and edit Board and Committee meeting minutes, memorandums, letters, reports, and other documents with a high degree of accuracy.
- Prepare, edit and distribute Board meeting agendas, packets, and official minutes in compliance with public meeting requirements (e.g., Sunshine Law/Open Records Law).
- Screen calls, emails, and correspondence; prioritize communications and respond on behalf of the Executive Director when appropriate.
- Coordinate logistics, meeting materials and presentations for executive speaking engagements/meetings and events.
REQUIREMENTS
- Associate or bachelor’s degree in business administration, public administration, communications, or related field.
- Minimum of 5 years of progressively responsible administrative experience supporting senior executives; experience in aviation, transportation, or a public agency preferred but not required; or equivalent combination of education and experience.
- Advanced proficiency in MS Office Suite, MS SharePoint, AdobePro and virtual meeting platforms.
- Communicates with excellence both verbally and in writing, delivers presentations, has good listening skills.
- Observance of high standards and thoroughness in work procedure; accuracy and attention to detail.

Competitive Salary: starting pay at $2,650 biweekly
