Coastal Maine Botanical Gardens is hiring an Accounting and Administrative Specialist!

This is a Year-round, Full-time position, eligible for the Gardens’ full benefit package. This position works in an office environment Monday-Friday, 40 hours per week.
$25.00 - 28.00 per hour, non-exempt
The Accounting and Administrative Specialist will take care of the everyday financial duties of the Gardens and support all departments with any financial information that is requested. This position also provides administrative support to the Human Resources (HR) department.
Primary Functions:
- Process accounts receivable and provide cash support to all departments.
- Monitor and process all stock gifts through Fidelity Brokerage account.
- Monitor and pay Maine state sales taxes.
- Update and provide inventory support for all departments.
- Process accounts payable and Year-End 1099s.
- Post recurring journal entries.
- Track fixed assets and support asset management plan.
- Pick up and distribute mail daily.
- Order office supplies and keep track of stock.
- Track financial and other requested data.
- Generate reports for Finance and HR as requested.
- Provide administrative support to Finance and HR departments; creating, maintaining, and updating documents, forms, and meeting notes.
- Participate in Gardens-wide initiatives including Gardens Aglow assignments.

Requirements
- At least 2 years of accounting experience required, preferably nonprofit. Additional office management experience a plus.
- Excellent mathematical skills, as well as verbal and written communications skills.
- Strong attention to detail and exceptional organizational skills.
- Expertise in Microsoft Excel. Proficiency in QuickBooks and Microsoft Office Suite, including Word, Outlook, and PowerPoint.
- Experience with Point of Sale (POS) systems and inventory processes preferred.
- Commitment to working across the organization to support the integration of Inclusion, Diversity, Equity, and Accessibility principles into the Gardens’ internal operations and its relationships with visitors and guests.
