Description

Executive Assistant to the President & Clerk of the Board of Trustees

The Maine Community College System (MCCS) is looking for a full-time Executive Assistant to the President & Clerk of the Board of Trustees. This position is responsible to the System President in providing executive level administrative services and serves as the Clerk of the Board to the Maine Community College System Board of Trustees. The successful candidate understands the position may require an extended day/extended workweek schedule including overnights and understands adapting schedules to meet shifting priorities may be needed.  

Duties include:

  • Serves as liaison between System President and college and system staff, consultants, Governor’s office, legislators, and others.
  • Serves to coordinate scheduling between the System President and Maine’s leading business and public policy leaders.
  • Serves as a member of the systems senior management and legislative policy teams. Manage information flow within the Office of the President, working closely with administrative and system staff.
  • Manages and assists with planning and implementation of required special projects involving research, data collection, analysis, logistics, and reporting. Develop, evaluate, or propose a wide variety of materials. Provide briefings as appropriate. Preparation and coordination of monthly Presidents council meetings and materials.
  • Serves as Clerk of the Board of Trustees, including the development, organization, preparation, and distribution of meeting materials, oversight of transcription of meeting minutes, meeting notes, reports, etc., coordination of meetings and board events, and planning, coordination and implementation of system-wide student recognition events.
  • Responsible for maintaining all records, minutes, reports and files for Board of Trustees and Office of the President. Oversee daily operations of the Executive’s office. Prepare and manage Board and Office of the President’s budget.
  • Assist with system level scholarship programs as required.
  • Assist with fundraising efforts, including compliance, grant implementation, annual reporting and communications as required.

The position is a level 5 Confidential position. The required minimum qualifications include a bachelor’s degree and four to seven years of experience in providing administrative services for executive level positions and/or ten years equivalent combination of education and experience. Knowledge of public sector higher education environment highly desired.

The required knowledge, skills, and abilities include, but are not limited to, the following: 

  • Ability to work independently and make judgment calls when appropriate.
  • Excellent interpersonal and problem-solving skills; presents recommendation and solutions.
  • Knowledge of the functions, procedures and governing laws of higher education and the system.
  • Ability to establish and maintain effective working relationships with executives, staff and the public.
  • Knowledge of state government officials, policies and practices.
  • Ability to record and maintain official and highly sensitive confidential documents, records, and information.
  • Ability to independently compose a variety of correspondence/documents/presentations (i.e. PowerPoint).
  • Strong organizational and communication skills are essential.
  • Ability to identify and resolve problems.
  • Ability to maintain and monitor budget documents.
