The Sandra Day O'Connor College of Law seeks a dynamic individual to assist with support of the Dean Suite and the Executive Assistant of the Sandra Day O’Connor College of Law at Arizona State University. The Executive Coordinator position will provide a wide range of administrative level support, coordination, and liaison functions for the dean’s office and other levels of administration. This position will require considerable independence of action and be held to the highest degree of confidentiality pertaining to sensitive materials and information. In accordance with the goals and mission of the College of Law, provides budgetary, personnel and administrative oversight. Provides leadership in the development of liaisons with faculty, staff, and community.
This position will report directly to the Assistant Director of Administration and Special Projects.
Salary Range: $50,000 - $55,000 per year; DOE
Essential Duties:
- Develops, coordinates, and implements programs and services for the assigned area at the College of Law.
- Provides comprehensive administrative support to the leadership team, including calendar management, meeting coordination and travel arrangements.
- Manages budgets for assigned programs and services; establishes, tracks, and reconciles resource allocations.
- Assist in the recruitment, training, and supervision of support staff and student workers.
- Provides stakeholders on various operational and procedural matters; prepares reports, tracks services, and recommends improvements.
- Supports and coordinates work for committees, boards, and cross-functional teams as assigned.
- Manages and processes Academic Personnel actions in coordination with the law school’s leadership and central administration. This includes promotion and tenure, sabbaticals, phased retirement, consulting forms, and other related documentation.
- Reviews receipts and processes reimbursements in the Concur travel system; reconciles the Dean’s ASU Purchasing Card and ASU Foundation credit card.
- Collects and maintains course evaluations for all ASU Law courses.
- Coordinates workshops, meetings, and events, including scheduling logistics and communications with participants.
- Assists with developing and administers faculty committee voting forms and tallies results.
- Assists with Honor Code processes including documentation, communications, and meeting support.
- Interacts professionally with students, faculty, staff, and external agencies; represents ASU Law at internal and external meetings.
- Proofreads and processes letters, memos, and other official correspondence.
- Exercises sound judgment and anticipates potential issues in support of the Dean’s suite and broader College of Law operations.
- Applies knowledge of supervisory practices, program administration, and university policies to effectively manage responsibilities.
- Demonstrates strong organizational skills, prioritization, and ability to build and maintain professional relationships.
- Physical presence at the workplace is an essential requirement of this role.
- Performs other duties as assigned to support the mission and goals of ASU Law and Arizona State University.
Desired Qualifications:
- 3 or more years of experience providing high-level administrative support to leadership or C-level executives, demonstrating professionalism, discretion, and sound judgment
- Proven experience working with confidential and sensitive information in a secure and professional manner
- Ability to manage multiple tasks and deadlines in a fast-paced, team-oriented environment
- Strong knowledge of standard office policies, procedures, and best practices
- Evidence of effective communication skills with a high level of attention to detail.
- Experience working in a higher education or similarly complex organizational environment
- Demonstrated ability to work effectively with individuals from diverse backgrounds and populations
- Experience coordinating travel arrangements and processing reimbursements; knowledge of the Concur Travel System preferred
- Highly organized and detail-oriented, with a proven ability to track and follow through on complex tasks
- Proficient in managing multi-line phone systems and providing professional front-line communication
- Skilled in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint; adept at conducting efficient and accurate internet research
- Strong command of grammar, punctuation, spelling, and proofreading for professional correspondence and documentation
Working Environment:
- Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
- Regular use of standard office equipment including but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
- Receive and participate in regular review of completed tasks for achievement of established objectives.
