Summary:

Reporting to the Director of Student Engagement and Leadership, the Associate Student Engagement Coordinator supports a dynamic student experience through event management, program development and planning, student organization/club oversight, student leaders mentoring, and support designed to enhance the growth and development of all students, providing social, cultural, recreational, and educational opportunities for all students to engage with the campus and community with the goal of increasing student engagement and creating a strong sense of belonging and school spirit.


 

Job Description:

Student Organizations and Clubs  

  • Assists the Director with overseeing all student organizations/clubs; provides comprehensive support, training, advising and mentoring, and student leadership development to student  organizations/clubs and their leaders; works closely with student organization/club leaders to achieve effective organizational management and to create exceptional student involvement opportunities which promote leadership development, school pride, and community engagement; and develops, coordinates, and implements student organization/club leadership trainings in alignment with student learning and/or leadership outcomes. 

  • Promotes a positive Greek life experience; works closely with the Greek President’s Council and  Greek advisors in providing advising, mentoring, and policy interpretation and implementation; provides training or workshops on leadership development, program planning and  management, problem solving, crisis intervention, and mediation; and makes referrals as appropriate. 

  • Works closely and maintains contact with student organization/club advisors on a regular basis; and develops and implements training for advisors; and manages a resource site for advisors.

  • Maintains knowledge of and communicates University policies and procedures to student  organization/club leaders and advisors; maintains an annual student organization/club calendar; oversees the student organization/club registration process; and ensures that all registration and membership eligibility requirements are met. 

  • Monitors student organizations budgets and payroll; trains and advises student  organizations/clubs on financial management including budgeting, payroll (if applicable), and financial procedures; approves organization financial transactions where applicable; and reviews all student organization and club contracts with external vendors. 

  • Creates and implements a strategic plan to promote student involvement in organizations and clubs to the student body utilizing a variety of marketing tools, activities, and initiatives. 

Event Planning and Management  

  • Advises student organization/club leaders regarding event planning and logistics, utilizing best  practices, processes and procedures, and policies; and ensures excellent service and support for student-led events. 

  • Oversees and participates in the monitoring of student organization/club events (e.g.  homecoming, bashes, etc.) as scheduled.  

  • Works with student organizations/clubs and Risk Management in reviewing external event contracts and assessing risks associated with organization events; implements event risk reduction strategies; and contributes to the creation and implementation of policy and procedural initiatives to ensure safe practices in risk management and responsible decision making. 

Leadership Program Development and Planning  

  • Supervises and supports student paraprofessionals in the development, implementation, and marketing of innovative social, cultural, recreational, and educational programming for all students to maximize involvement and interaction with the campus and community, with the goal of increasing student engagement.  

  • Assists the Director with the planning and implementation of a leadership development  program and training series for the student body as well as for student organization/club leaders  that provides opportunities for students to grow and develop outside the classroom; provides leadership tools and skill development; fosters civility among community members; supports individual wellness via campus wellness initiatives; and promotes student involvement in community service projects on and off campus. 

Administration 

  • Coordinates the hiring and training of Student Engagement and Leadership student paraprofessionals; and  supervises and mentors them with the goal of increasing their personal and professional growth.  

  • Oversees the design and implementation of various Student Engagement and Leadership manuals and guidelines, including the Student Organization Manual; and assists the Director with updating all policies  and procedures and the Student Engagement and Leadership website.

  • Updates the student organization participation data each semester and maintains the database  of student organizations members/activities; assesses overall student participation in  organizations and clubs; and administers student surveys to assess student engagement and  interest in organizations and clubs. 

  • Collaborates and supports ongoing partnerships with faculty and staff to improve student  engagement; and provides faculty/staff training and/or workshop presentations related to student engagement, student activities, leadership development, and related topics.

  • Keeps abreast of developments in higher education, particularly in the area of student  development and learning, assessment, the administration of college unions and/or campus  activities programs, student and student organization related liability issues and student  organization risk management; and maintains membership to pertinent professional organizations and participates in professional development opportunities as appropriate.

  • Assists the Director in researching, analyzing, compiling, and generating a variety of reports and statistical information based on program and service assessment and evaluation needs.

  • Keeps the campus community informed of all events, programs, and activities through print, visual and social media; ensures the timely distribution of messages for the campus community and develops a campus wide events calendar for the community.  

  • Works with the Director to ensure that the unit promotes increased campus awareness of  University goals and priorities; and assists in promoting an understanding and appreciation when working with all student organizations or other groups who engage in communication and interaction with Student Engagement and Leadership. 

Additional Responsibilities

  • Establishes and maintains a positive and supportive working relationship with co-workers and supervisors.

  • Demonstrates a genuine commitment to belonging in the workplace and participates in activities and workshops to foster continuous learning.

  • Serves as a mandatory reporter under Title IX; and commits to completing Title IX training and other compliance requirements on an annual basis.

  • Prioritizes safety in the workplace as a collective responsibility for the well-being of employees and fosters a culture of safety that is integral to our success, including strict adherence to safety procedures and protocols, as well as promptly reporting any safety hazards or incidents.

  • Performs related and other duties as needed.

Required Qualifications:

  • Bachelor’s degree. 

  • A minimum of two years of experience with event management, program planning, or a related field (college student work and/or internship experience will be considered).

  • Ability to communicate in American Sign Language. 

Preferred Qualifications:

  • Master’s degree.

  • Experience with coordinating or planning events/activities. 

Knowledge, Skills, And Abilities:

  • Strong leadership and motivational abilities in a team environment, with a commitment to student development and leadership excellence. 

  • Strong problem-solving, conflict resolution, team management, and leadership skills.

  • Strong knowledge of student development and student learning theories and practices.

  • Strong knowledge in leadership development, and the role of extracurricular activities and programs in campus life. 

  • Demonstrated experience working with student groups and familiarity with fraternity and sorority life.

  • Strong understanding of organizational/university budget management.

  • Demonstrated ability to work with and across University departments, outside constituents and groups.

Additional Job Details:

  • If the successful candidate has over three years of required experience and exceeds the qualifications, they may be hired as “Student Engagement Coordinator.”
