Job Title: Operations Systems and Data Manager (OSDM)

Location: Preferably Nashville, TN, but Jackson, MS is an option

Reports to: Chief Operating Officer (COO)

Position Type: Full-time

The Opportunity

The Operations Systems and Data Manager (OSDM) is a leadership role responsible for managing key student data platforms (e.g., PowerSchool, Infinite Campus, Clever, Google Admin) and ensuring data integrity and security in compliance with state and federal laws, including FERPA. The OSDM collaborates with vendors and internal teams to resolve system issues, optimize performance, and support staff training and system integration.

This role works closely with school teams and the CMO to improve operational systems related to student data, enrollment, attendance, and retention - including the codification, visualization, and elevation of core operational data. The OSDM also leads continuous improvements by conducting audits, identifying system gaps, and supporting the development of standard operating procedures (SOPs) to ensure systems are well-documented and aligned with organizational goals.

 

What You’ll Do

Platform, Systems, and Data Management (30%)

  • Coordinate with enrollment and student data platform vendors and collaborate with school teams to resolve issues.
  • Manage enrollment and student information systems (e.g., PowerSchool, Infinite Campus) to maintain accurate data on scholar entries, exits, and trends.
  • Ensure system audits are in place to maintain data integrity and identify any gaps in the student data systems.
  • Uphold data security standards in compliance with state and federal laws, including FERPA.
  • Oversee the integration of new software and systems, ensuring they work smoothly with existing tools and meet operational needs.
  • Manage and administer internal systems to ensure alignment with organizational goals and needs.
  • Manage security access for operations platforms and systems.

System Support, Customer Service, Troubleshooting, and Improvement (30%)

  • Troubleshoot and support school teams and CMO teammates with issues related to operational systems like PowerSchool, Infinite Campus, Clever, Google Admin Suite, and others.
  • Collaborate with the IT vendor to resolve system-wide issues and ensure smooth functionality across platforms.
  • Work with platform vendors to resolve issues related to specific software tools and platforms.
  • Develop and maintain a "Help Desk" process, managing the internal ticketing system and escalating tickets as needed.
  • Set high standards for customer service, holding the IT vendor and platform vendors accountable for performance.
  • Continuously identify and recommend improvements to technology support services and processes.
  • Organize and lead training sessions for staff on new and existing platforms, ensuring everyone is confident in using the systems

Enrollment Operations (25%)

  • Regularly roll up and share enrollment data, including progress to goal for re-enrollments, new applications, and completed registrations, with the Experience Team.
  • Develop systems to track key enrollment data such as retention rates and applicant-to-enrollment conversions.
  • Collaborate with operational vendors (e.g., transportation companies) by providing necessary data, such as transportation details, to support their services and ensure smooth logistics across the network.

Collaboration and Leadership (15%)

  • Support CMO departments with access to and reporting of data in support of organizational goals and strategies, including data on attrition, retention, enrollment, attendance, and chronic absenteeism.
  • Work closely with schools to create equitable and efficient practices and systems that align with school goals and mission.
  • Collaborate with platform vendors to ensure proper integration of systems for enrollment and student data management.

Qualifications

  • A bachelor’s degree with a preference for a graduate degree in a related field.
  • 3+ years of experience managing student data systems, preferably in a K-12 environment or education-related setting
  • Familiarity with and proficiency in Microsoft Excel, Google Admin Suite, Clever and student information systems (e.g., PowerSchool and Infinite Campus
  • Experience working with external vendors and managing system integrations is preferred.
  • Strong attention to detail with a commitment to data accuracy, security, and compliance with FERPA and other educational regulations.
  • Proven experience in developing and maintaining documentation systems and standard operating procedures (SOPs) to ensure efficient and accurate processes across the organization.
  • Excellent project management, communication, and relationship-building skills
