Position Information:
Summary: The Executive Administrative Assistant plays a vital role in enhancing the effectiveness of the Chief Executive Officer (CEO) in leading Miller Manufacturing Company (MMC) and driving business plan results. This position supports the CEO, Director of Human Resources and Development (HRD), and the Miller Executive Leadership Team (MELT) across strategic initiatives that advance each manufacturing division’s objectives. It also leads company-sponsored event planning, project coordination, and the development of internal communications to ensure alignment and engagement across MMC. Additionally, the role manages policy administration, manages the company intranet (SharePoint), and serves as a trusted, confidential representative of MMC to employees, customers, and stakeholders. Through these responsibilities, the position helps foster a People First culture rooted in the company’s 26 Fundamentals.
Essential Functions:
- Executive Support for CEO and MELT
To enhance executive alignment and drive strategic outcomes, this role provides high-level support to the CEO and Executive Leadership Teams (ELTs) by serving as the primary liaison across departments and locations. Responsibilities include facilitating weekly MELT L10 meetings with accurate minute-taking via My90 and MS Teams, promoting a People First culture through accountability for action items, delivering weekly KPIs using Tableau and My90, serving as a confidential resource for MELT inquiries, and supporting acquisition efforts and other special projects as assigned by the CEO.
- Policy Management
Leads policy administration across all departments in partnership with leadership to ensure policies are compliant, accessible, and aligned with company standards. This role supports consistency and accountability by training policy owners on SharePoint usage, maintaining current administrative policies, and facilitating formal approval and annual review processes. Additionally, it contributes to operational clarity by assisting with documentation of core processes and updates in My90.
- SharePoint Management
Develops and maintains the company’s intranet site using SharePoint to support efficient access to resources and communication across teams. Facilitates initial and ongoing training for HRD and administrative staff to ensure consistent and effective use of the platform. Leads user experience improvements and collaborates with external consultants to troubleshoot and resolve technical issues, ensuring the site remains functional and user-friendly.
- Legal Support
Provides critical support for complex and confidential legal transactions by coordinating closely with outside corporate counsel. Manages and maintains secure, organized access to legal documents—including consumer claims, contracts, and leases—to ensure accuracy and ease of retrieval. Drafts and edits legal documents to advance business initiatives and ensure alignment with legal requirements.
- Strategic Communications Support
Prepares and distributes communications to support the CEO in business planning and issue management, ensuring clarity and alignment across stakeholders. To drive strategic execution and engagement, this role participates in annual and quarterly planning sessions, coordinates quarterly report reviews, and assists in drafting weekly 5/5s and quarterly/annual reports. It applies knowledge of frameworks such as Franklin Covey’s Four Disciplines of Execution and Traction/EOS to reinforce planning discipline. The role also manages inquiries of a general and confidential nature with sound judgment, ensuring appropriate handoff, and composes complex correspondence that reflects the CEO’s views and organizational priorities.
- Administrative Support
To ensure smooth executive operations and meet evolving business needs, this role administers and systemizes key administrative functions for the CEO and MELT. Responsibilities include managing calendars, scheduling appointments and interviews, assisting with onboarding for Eagan staff and executives, and monitoring timely performance reviews. The role also arranges domestic and international travel, including visa support, and handles miscellaneous tasks such as expense reporting and document distribution. It maintains confidential files related to business strategies, pricing, and employee relations to ensure secure and organized access to sensitive information.
- Office Management
To ensure smooth and efficient operations within the Eagan office, this role manages a wide range of administrative and logistical functions. Responsibilities include ordering supplies, coordinating maintenance and service providers, handling IT and phone issues, and overseeing office moves and improvements. It also manages all inbound and outbound mail and deliveries, prepares for outside visitors including meals and refreshments, and supports employee relations initiatives such as events and recognition projects. The role maintains office and kitchen stock and cleanliness, oversees company vehicle logistics, and ensures timely processing of invoices through Accounts Payable (AP) and Accounts Receivable (AR).
Knowledge, Education and/or Experience:
- Bachelor’s degree preferred; equivalent experience considered.
- Superior writing and proofreading skills required.
- Demonstrated high proficiency with all programs in Microsoft Office Suite.
- Proven executive support experience.
- Familiarity with manufacturing businesses preferred.
- Experience managing legal files and reviewing/processing legal documents properly.
- On the job training may be required.

Full-time, Salaried, Exempt
Pay Range:
$65,000 to $85,000 Annual Base Pay
Base pay is based on several factors which vary based on position, including skills, ability, and knowledge the selected individual is bringing to the specific job. Please note that we do not typically hire at the top of our range.
