SALARY: The salary range for this position is $52,593.71 to $88,353.41 for Schedule A, and $52,593.71 to $83,935.75 for Schedule B.  For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater. Judiciary employees hired prior to June 3, 2014, are considered Schedule A. Newly hired individuals, and Judiciary employees hired on or after June 3, 2014, are considered Schedule B.

The New Jersey Judiciary, Union Vicinage is seeking individuals with excellent organizational, communication and strong interpersonal skills to join the Family, Civil and Probation Divisions. The successful candidates will be responsible for specialized functions, such as ensuring the division is in compliance with mandatory trainings, ensuring accuracy of division eCATS daily attendance and leave requests, and compiling reports. The selected candidate should also possess strong analytical and problem-solving skills; must be self-directed, motivated and result oriented; flexible and open to change by adapting behavior in response to new information, situations, or unexpected obstacles to ensure Division goals are met.

REMOTE WORKThe Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, you will be required to have high speed home internet access.

Position Duties

Under the direction of the Division Manager, this individual will provide extensive administrative support, which may include:

  • Facilitate and oversee the record retention process of the Division files, yearly inventories, and maintenance of same
  • Facilitate access for new and existing staff to internal and external systems, such as eCourts, FACTS, NJKIDS, NJSPIRIT, ETRO or ACMS and troubleshooting any issues that may arise
  • Create and maintain the Family Division Master Judicial Calendar
  • Statistical Reporting, including backlog reports and IVD Reports
  • Track division-specific forms and personnel forms such as overtime, career progression and probationary forms, division phone directory, table of org charts and other miscellaneous schedules and lists which require regular updating
  • Schedule and moderating proceedings
  • Create manuals, materials, and presentations
  • Order supplies
  • Act as the liaison between the Division Manager and the Assignment Judge, Judges, law clerks, Trial Court Administrator, Court Executives, supervisory personnel, professional and clerical staff, as well as internal and external stakeholders
  • Coordinate the Pro Bono Program
  • Coordinate the IV-D Program
  • Maintain IRS Data Security Logs
  • Prepare documents for the triennial Federal Audit
  • Prepare IV-D reimbursement reports
  • Run and review financial hold reports
  • Regular and predictable physical presence at the worksite is an essential function of the position

Minimum Qualifications

Graduation from an accredited college or university with a bachelor's degree.

Substitution: Applicants who do not possess the required education may substitute additional paraprofessional and/or professional experience on a year-for-year basis with one year of such experience being equal to 30 semester hour credits. An associate's degree and two years of additional paraprofessional and/or professional experience may be substituted for a bachelor's degree.

Other Qualifications

Driver's License:  Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position.

Authorization to Work:  US citizenship is not required.  Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.

Residency Law:  Pursuant to N.J.S.A. 52:14-7 (L. 2011, Chapter 70), also known as the "New Jersey First Act," all persons newly hired by the Judiciary must establish, and then maintain, principal residence in the State of New Jersey.
