This Opportunity

Bay West is seeking a detail-oriented Payroll Clerk to manage full-cycle payroll across multiple states with a focus on accuracy, compliance, and efficiency. You'll work closely with Team Leaders, HR, and Finance to support our growing workforce. This role is ideal for someone who thrives in a collaborative environment and is eager to streamline payroll operations in a purpose-driven organization.

Your Key Responsibilities 

  • Administer full-cycle payroll processing for weekly-paid and biweekly-paid, non-exempt and exempt employees working in multiple states using Deltek Costpoint (Project Accounting Software).
  • Partner weekly with Team Leaders to ensure employees accurately and promptly report hours worked in the timekeeping system and that on-time approvals are received.
  • Process project labor related change requests from Team Leaders and Project Managers.
  • Respond to and support resolution of employee inquiries related to payroll discrepancies.
  • Review payroll to ensure it is processed in accordance with appropriate prevailing wage law.
  • Prepare and deliver Certified Payroll for project-related activities, as requested.
  • Partner with the Finance and Accounting teams to complete routine tasks, including weekly posting of accruals and monthly, quarterly, and annual reconciliations and audits.
  • Conduct regular payroll audits to ensure accuracy and compliance with federal, state, and local regulations.
  • Partner with Human Resources to prepare post-payroll remittances, compliance reports for various entities, including Bureau of Labor Statistics, state tax and unemployment entities, and others as required.
  • Coordinate with Human Resources to complete time-sensitive system changes, including hires, job changes, and terminations.
  • Support cross-functional communication and necessary training of payroll and timekeeping processes and procedures.
  • Other position-related supportive tasks, as required by the business.

Who You Are

Required Qualifications

  • Must have a minimum of two years of previous experience in Payroll or a related field.
  • Knowledge of payroll laws, general accounting principles, and general payroll best practices.
  • Experience working with ERP systems
  • Experience with ADP Workforce Now or similar ADP or HR Software
  • High level of data entry proficiency.
  • Proficiency with Microsoft Office, specifically Excel and Outlook.
  • Trustworthy along with the ability to maintain an elevated level of confidentiality.
  • Outstanding organization and time management skills, with proven ability to meet deadlines.
  • Strong attention to detail and accuracy.
  • Ability to identify opportunities to increase efficiency in the payroll process.
  • Excellent verbal and written communication skills.

Preferred Qualifications

  • Experience with ERP systems such as Deltek Costpoint, SAP, Oracle
  • Knowledge of Human Resources processes and procedures
  • Experience with Prevailing Wage compliance at a federal and state level
  • Active or on the path to obtaining SHRM Certified or Senior Certified Professional certification
  • Active or on the path to obtaining Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP)

Physical Requirements

  • Ability to sit at a computer for an extended period.
  • Light to moderate lifting may be required.
