Job Title: Facilities Coordinator    

Department: Facilities

Location: Remote, but must come onsite to Brockton for monthly team meetings

Reports to: Facilities Management Manager 

Hours: Monday-Friday, 2:30-11pm; on call every five weeks once trained

  1. PURPOSE AND SCOPE

Provide direct support and organization to the RE & Facilities Department in an efficient and effective manner.  

  1. PRIMARY RESPONSIBILITIES
  1. Ensure Maintenance Requests are processed, assigned and communicated in a timely organized manner
  2. Assist with new center projects, renovations & building improvements including schedules, communications and document production.
  3. Liaisons with various contractors and vendors who service properties.
  4. Assist with budgets and financial reporting for the Dept.
  5. Manage regulatory requirements for the Dept.
  6. Maintain current contracts by organizing administratively.
  7. Maintain lease administration by keeping lease documents organized, updating spreadsheet on lease details, draft letters to landlords as requested, and communicating lease details to finance team.
  8. Coordinate Center & Company Standards and Specifications
  9. Oversee and Manage the Dept Filing System
  10. Manage Dept internal & external communications and marketing
  11.  Coordinate all Dept initiatives
  12. Effectively handle call and facilities emergencies after hours as assigned
  13. Assist with license and regulatory requirements for the department
  1. EDUCATIONAL REQUIREMENTS

High school diploma or equivalent required.  College level courses desirable.

  1. EXPERIENCE REQUIREMENTS

Two or more years experience in a fast paced administrative or clerical role.  Proficiency in Excel, PowerPoint, Word, and web research required.  Background in regulatory compliance and experience in an imaging facility helpful.   Excellent communication and organization skills.  

      5. PHYSICAL REQUIREMENTS

Ability to sit, stand and walk for extended periods of time with or without reasonable accommodation.

      6. INTERNAL/EXTERNAL INTERACTIONS

Extensive interaction with employees at all organizational levels and outside vendors/resources/regulatory agencies/partners.
