PRIMARY RESPONSIBILITIES:
Program Management
-Coordinate logistics for countywide professional learning days, webinars, and other professional development events, including scheduling, invitations, registration, materials preparation, food orders, and supply management as required by the grant.
-Manage timelines, track deliverables, and ensure all event components are completed on schedule.
-Publicize offerings and schedules, provide technical assistance, and maintain a responsive support process for participating districts.
Reporting
-Collaborate with the Manager and evaluation coordinator to collect, organize, and summarize survey results, event feedback, and participation data.
-Maintain detailed records of program activities, partner communications, and deliverables for reporting purposes.
-Provide timely updates on project milestones, challenges, and partner engagements. Prepare summaries and reports for both internal and external communication as needed.
-Assist in building and refining systems that support data-driven decision-making and targeted district support.
Requirements / Qualifications
The Program Specialist supports the Community Schools Program Manager in the planning, organization, and delivery of countywide professional learning and technical assistance for districts participating in the California Community Schools Partnership Program (CCSPP). This role is behind the scenes — focused on high-level organization, communications, and data systems that strengthen district implementation of the Community Schools model. Responsibilities include coordinating the launch of professional learning days, managing multiple projects and timelines, developing systems for collecting and organizing feedback, and supporting responsive communication with district leaders (LEAs).
The ideal candidate is highly organized, an excellent communicator, able to work under pressure, and skilled at managing multiple priorities with accuracy and professionalism.
QUALIFICATIONS:
-Bachelor’s degree in education, public administration, social sciences, or a related field preferred.
-Minimum 1 year of experience in complex projects or grant-funded initiatives in education, social services, or community-based programs.
-Strong organizational, communication, and time management skills; ability to manage multiple projects with competing deadlines.
-Experience drafting professional communications, preparing meeting materials, and editing for accuracy and clarity.
-Experience providing administrative and logistical support within education, social services, or community programs preferred.
-Valid California driver’s license (CDL) and NCOE driving clearance required
-Bilingual in Spanish preferred.

ADDITIONAL RESPONSIBILITIES:
-Assist in organizing professional development activities, webinars, and events with internal and external partners and partner agencies.
-Help develop and update guidance documents, FAQs, and technical assistance memos for grantees.
-Conduct background research on potential county partners, funding opportunities, and best practices for community school coordination.
-Draft and proofread clear, concise communications for districts and partners, including newsletters, guidance documents, and meeting materials.
-Prepare agendas, take meeting minutes, and maintain organized records of program activities and decisions.
-Support distribution of professional development offerings, resources, and schedules.
-Perform related administrative and program support tasks as assigned to meet the evolving needs of the Community Schools Program and comply with grant requirements.
KNOWLEDGE, SKILLS, AND ABILITIES:
-Familiarity with California’s educational system, including county offices, grant management, and key programs (e.g., expanded learning, prevention, volunteer initiatives, and health and wellness).
-Strong organizational and project management skills, with high attention to detail and the ability to prioritize multiple tasks effectively.
-Excellent written and verbal communication skills for engaging diverse stakeholders, including program staff, consultants, funders, and community members.
-Proficiency in Microsoft Word, Excel, PowerPoint, Teams, SharePoint, Google Workspace, Canva, and data entry, with basic analysis and reporting skills; ability to adapt to emerging tools, including AI-assisted platforms.
-Adaptable and proactive problem-solver who can work independently, exercise judgment, and maintain professionalism and confidentiality across concurrent projects.
-Strong collaboration skills to build positive relationships across teams and respond sensitively to community needs.
