Position Summary:
The Accounts Payable Specialist is a vital member of the finance department responsible for managing and processing the organization's accounts payable transactions. The primary focus of this role is to ensure accurate and timely payment of invoices, maintain vendor records, and uphold the company's financial integrity. The Accounts Payable Specialist plays a critical role in ensuring that all financial obligations to vendors and suppliers are met promptly and efficiently.
Key Responsibilities:
- Invoice Processing: Receive, review, and verify incoming invoices from vendors and suppliers. Match invoices with purchase orders and/or contracts to ensure accuracy and compliance. Resolve any discrepancies or issues related to invoices in a timely manner.
- Payment Processing: Prepare and process payments for approved invoices, including checks, electronic transfers, and wire payments. Adhere to company policies and ensure all payments are made within the agreed-upon terms.
- Vendor Management: Establish and maintain positive relationships with vendors and suppliers. Address inquiries and resolve any payment-related concerns promptly. Ensure vendors are paid accurately and on time to maintain good working relationships.
- Record Keeping: Accurately record all accounts payable transactions in the accounting system. Maintain comprehensive and up-to-date records of payments, invoices, and related documentation.
- Reconciliation: Perform regular reconciliation of vendor accounts to ensure accuracy and proper allocation of payments. Resolve discrepancies and communicate with vendors to resolve outstanding issues.
- Compliance: Ensure compliance with company policies, industry regulations, including Sunshine reporting, and accounting standards related to accounts payable processes. Assist in internal and external audits as necessary.
- Reporting: Generate regular reports related to accounts payable activities, such as outstanding payables, aging reports, and payment schedules. Provide financial data and analysis to management as required.
- Process Improvement: Identify opportunities to streamline and improve accounts payable processes. Suggest and implement process enhancements to increase efficiency and accuracy.
- Team Collaboration: Collaborate with the finance team and other departments to ensure smooth workflow and timely resolution of financial matters.
Qualifications and Skills:
- High school diploma or equivalent required; associate's or bachelor's degree in accounting, finance, or a related field is preferred.
- Proven experience as an Accounts Payable Specialist or in a similar role, demonstrating a strong understanding of accounts payable processes.
- Proficiency in using accounting software and ERP systems for invoice processing and payment management.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Solid knowledge of accounting principles, regulations, and best practices related to accounts payable.
- Excellent communication skills to interact with vendors and internal stakeholders professionally.
- Problem-solving skills to identify and resolve discrepancies and payment issues.
- Ability to work independently and collaboratively in a team-oriented environment.
- Familiarity with Microsoft Office Suite, particularly Excel, for data analysis and reporting.
Hourly Compensation Range: $27-32/hour.
