We are seeking a highly organized and detail-oriented Travel & Operations Coordinator to manage and optimize all aspects of corporate travel planning across our organization. This is an administratively intensive role that requires strong logistical coordination, clear communication, and a cost-conscious, process-driven mindset. The ideal candidate is not only reliable and responsive but also focused on driving ROI through deficiency, vendor strategy, and smart planning. Key Responsibilities
- Coordinate and manage domestic and international travel for employees and leadership (airfare, hotels, transportation, visas, etc.).
- Track and reconcile travel budgets, expense reports, and vendor invoices with accuracy and timeliness.
- Research vendors and negotiate preferred rates for travel and accommodations.
- Ensure compliance with the company travel policy and identify opportunities for updates and improvements.
- Maintain accurate and comprehensive travel documentation and reporting.
- Provide after-hours support for urgent or time-sensitive travel needs, as required.
- Partner with internal teams to understand evolving travel needs and recommend scalable solutions.
- Identify inefficiencies in travel planning and implement process improvements focused on time and cost savings.
- Report on travel data and ROI of implemented changes.
Qualifications
- Excellent organizational skills and attention to detail.
- Effective communication skills, both written and verbal, with the ability to educate and train staff on travel matters.
- Ability to work independently and collaboratively with a diverse team.
- Strong problem-solving skills and the ability to implement effective solutions to ensure policy compliance.
- Proficiency in using computer software for documentation and record-keeping.
- Experience with travel coordination and expense management preferred.
- Knowledge of corporate travel booking systems and vendor management.
- Ability to manage multiple travel itineraries and adapt to changing schedules and priorities.
- 2–4 years of experience in administrative, travel coordination, or executive support roles.
