The Scheduler will serve as the coordinator for procedures and follow-up schedules, often between doctors, patients, departments of TCRH, and hospitals the providers' practice at. Schedulers will utilize the provider’s scheduled template and the processes of scheduling to schedule the patient timely. Ensures all needed documentation is collected, falls within the required timeframe, and works with other departments/hospitals in receiving the documents. They should be professional and manage multiple tasks. Tracks procedures, cancelations, and outgoing referrals to ensure all patients are cared for. 

The incumbent will carry-out her/his duties by adhering to the highest standards of ethical and moral conduct, acts in the best interest of Three Crosses Regional Hospital, and fully supports the mission, vision, and values of Three Crosses Regional Hospital. The incumbent will have knowledge of health care systems, and have demonstrated ability to interact, relate to, work with, and support the activities of a diverse workforce.

Position Summary
The Scheduler serves as the central coordinator for procedures and follow-up schedules—working closely with doctors, patients, Three Crosses Regional Hospital (TCRH) departments, and partner hospitals. Using the provider’s scheduling template and established processes, the Scheduler ensures timely and accurate scheduling while collecting all required documentation within set timeframes. This role requires professionalism, strong multitasking skills, and a commitment to tracking procedures, cancellations, and referrals to ensure every patient receives quality care.

The Scheduler adheres to the highest ethical and professional standards, acts in the best interest of TCRH, and supports the organization’s mission, vision, and values.

Primary Responsibilities

  • Coordinate with providers to schedule patient procedures according to orders.

  • Review and educate patients on procedure type, process, and preparation instructions.

  • Obtain prior authorizations for procedures.

  • Ensure all required documentation is collected within deadlines and distributed to appropriate parties (clinic, hospital, or outside facilities).

  • Verify patient insurance eligibility and collect co-pays as needed.

  • Utilize the EHR system to review, update, and schedule procedures.

  • Schedule and track both procedure and post-procedure appointments.

  • Provide general office and reception support.

  • Attend staff meetings as required.

  • Perform other duties as assigned.

Education & Experience

  • Required: High School Diploma or GED

  • Preferred: Billing and/or Coding Certificate

  • Required: Minimum 2 years of customer service or scheduling experience, preferably in a medical setting
