IMS is currently searching for a professional, compassionate and knowledgeable individual to fill the position of Front Office Supervisor for our Cardiology Department. The Front Office Supervisor will provide coverage and support, under the direction of the practice manager and physician(s) of the practice, to team members to ensure smooth patient flow and physician satisfaction and may assist Practice Manager with practice operations and business functions. Instill the IMS mission, vision and values in the work performed.

Responsibilities:
- Monitor time to make sure employees are clocking in and out according to company policy.
- Approve time off requests and approve PTO through Time and Labor.

- Arrange for coverage for employees while they are sick/on vacation/leave, etc.
- Encourage employees to follow the policies and procedure of IMS and any procedures that are specific to Cardiology.
- Responsible for staff supervision, corrective action, and recommendations for termination
- Assists Practice Manager in developing and enforcing staff schedules.
- Responsible for evaluating staff performance, developing standards and ensuring basic competencies for all staff.
- Encourage employees in their job performance
- Interview, select and hire new employees for open positions.
- Works with Practice Manager to develop and implement goals and objectives for the clinical areas. Oversees clinical areas and ensures functions are being completed accurately and timely (including patient intake, care coordination, documentation, exam room preparation, compliance, and inventory management)
- Provides support to Practice Manager to ensure the clinic flow is smooth and efficient and that patient care needs are met
- Addresses issues raised by Practice Manager
- Monitors schedule & daily flow and report to Practice Manager
- Maintains office supplies/equipment.
- Schedules and/or performs maintenance of equipment and/or facilities.
- Assists with Practice Manager functions in the absence of the Practice Manager
- Establish credibility and a strong presence in the division.
- Present yourself professionally as a role model for the other employees.
- Maintain cordial relationships with the other practices and referring practices, hospital staff, etc.
- Continuously optimize staff roles and responsibilities to meet performance goals.
- Develop and maintain an open effective line of communications with clinical and non-clinical staff
- Participate in Management meetings
- Support change management
- Demonstrate knowledge and understanding of patient privacy rights. Maintains confidentiality of all medical, financial, or other sensitive materials and information in printed, electronic or verbal form, which may jeopardize the privacy of patients and/or employees.
Requirements:
- Ability to communicate effectively both verbally and in writing.
- Ability to work independently and to be accurate, efficient and organized
- Requires the ability to manage multiple changing priorities in an effective and organized fashion.
- Ability to respond to emergent or stressful situations in a calm and professional manner.
- Ability to interact with people from different backgrounds and cultures.
- Intermediate computer skills (i.e. MS Word, Excel).
- Ability to maintain good working relationships while addressing complex sensitive administrative issues.
- Must have knowledge of and follow HIPAA guidelines and secure Protected Health Information at all times.
- The ability to work in a constant state of alertness and in a safe manner
Education and Experience
-Minimum 1 - 3 years’ experience supervising a Cardiology clinical setting.
-Supervisory experience in a cardiology clinic or hospital setting.
-medical insurance, coding and reimbursement.
NON-ESSENTIAL FUNCTIONS:
- Perform other duties as assigned
- Travel may be required depending on business needs
- Hours may vary and be outside of normal office hours depending on business needs.
