This position reports to the Manager, Credit, Banking and Payroll, who oversees a collaborative team of professional staff dedicated to supporting the organization's financial operations with accuracy and efficiency, and as the General Administrator, your responsibilities are as follows:

  • Perform a variety of administrative duties such as answering the telephone, reply to routing inquiries or redirect calls as appropriate, maintain records, and pen and date stamp all incoming invoices to AP Administrator, scan & save PDF copies of cheques received, route incoming mail; deliver personal/confidential mail to the appropriate employee mail slots, assist with postage machine management, assist with office supply stock level maintenance and copier paper delivery.
  • Maintain all functions of the Address Book; JD Edwards database for Accounts Payable Vendors and Accounts Receivable Customers including maximization of AP EFT/ACH processing as our preferred method of payment (AP) and receipt of payments (AR), performing dual verification of banking details with AP Vendors and ensure accurate record keeping minimizing exposure to fraudulent and erroneous payments.
  • Maintain Aged Receivable tasks; ordering and reviewing Aged Receivable reports (JD Edwards, BI-reports, RMI, and other reports as needed), communicating with Customers via written emails and letters regarding past due invoices, acting as a liaison between the Customer and other internal stakeholders to secure payments past due.
  • Prepare accounts receivable deposits and process for deposit via the bank scanner.
  • Prepare weekly deposit and deliver to the bank in person for any cheques rejected by bank scanner. 
  • Forward deposit details (cheques and backup) to AR Administrator and record on Daily Cash Sheet. 
  • On a relief basis, perform the duties of the AR Administrator. 
  • On a relief basis, assist the General Payroll Administrator and/or Payroll Administrator with introductory level Payroll tasks such as Replicon timecard reminders, data entry and reports as needed. 
  • Maintain compliance with all company policies and procedures.
  • Perform other related duties as assigned by supervisor.

To be considered for the General Administrator role, you need to have the following qualifications:

  • Minimum High school diploma or GED required.
  • Accounting Certificate or Diploma from a recognized post-secondary institution is preferred.
  • Two (2) to four (4) years’ experience in a related or similar field OR a combination of education and experience.
  • Minimum two (2) years’ experience of processing accounts receivable.
  • Valid and clean BC driver’s license.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers. 
  • Excellent computer proficiency (MS Office: Word, Excel, Outlook and an inventory control software).
  • Must be able to work under pressure, take direction, and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.

Additional Information:

  • Will occasionally work in a non-office environment for inventory count; and
  • May need to wear Personal Protective Equipment (PPE) when conducting work at our other company locations/site(s).
