Summary: The Guest Services and Administrative Manager is responsible for overseeing the daily operations of the front desk and administrative functions, ensuring exceptional service delivery to guests, homeowners, and staff. This role plays a key part in the coordination of property operations, internal communications, and the overall guest and owner experience.
Essential Duties and Responsibilities include the following.
Guest Services Management:
•Supervise front desk team, concierge services, and bell staff to ensure excellent guest service at all times.
•Maintain a professional, welcoming environment for guests, owners, and vendors.
•Handle escalated guest concerns or service recovery situations with professionalism and discretion.
•Monitor guest feedback channels and implement service improvements as needed.
•Oversee check-in/check-out procedures, key management, and reservation coordination.
Owner and HOA Relations:
•Act as a liaison between the management team and homeowners’ associations (HOAs).
•Respond to owner inquiries promptly and professionally.
•Assist with HOA meeting communication materials and property updates.
Administrative Operations:
•Oversee general administrative support including phones, scheduling, filing, and documentation.
•Assist with coordinating meetings, record and post minutes, and maintain internal records for project tracking and board meetings.
•Manage supply inventory, office equipment, and vendor coordination for front-of-house operations.
•Assist with drafting correspondence, notices, and internal reports.
Staff Oversight and Training:
•Train and manage Front Desk staff.
•Develop and maintain SOPs for front desk and administrative processes.
•Attend regular team meetings to reinforce customer service standards and operational updates.
Property Coordination:
• Support cross-department communication for maintenance requests, housekeeping coordination, and amenity operations.
• Maintain communication logs and guest incident reports for management review.
• Coordinate vendor access and ensure adherence to property protocols.
Qualifications:
•3+ years in guest services, hospitality, or office management (resort or HOA experience preferred).
•Strong leadership and interpersonal skills with a customer-first mindset.
•Excellent verbal and written communication skills.
•Highly organized, detail-oriented, and able to manage multiple priorities.
•Proficiency in Microsoft Office Suite; experience with property management systems (e.g., Track, OPERA, or equivalent) a plus.
•Ability to work weekends, holidays, and on-call as needed.
This position requires a valid driver's license and a good driving record for insurability purposes.
