Front Desk Specialist – Sign on Bonus! Paid Training!
Schedule: Monday through Friday 8a-4p
Full time: 40 hours
Pay: $20.00 per hour – Paid training provided by Venture!
Sign On Bonus: $1000 for Full Time and $500 for Part Time employees
SUMMARY OF POSITION
The Front Office Specialist reports to the HR Benefits & Compliance Manager and performs a variety of front office and Human Resources duties. This position is the first point of contact for the main office and requires the ability to provide excellent customer service, with a working knowledge of Microsoft Office and other office equipment as necessary. This position will be compensated on an hourly basis.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Ability to handle incoming calls in a professional manner accurately routing them to appropriate parties, taking messages as necessary.
• Provide excellent customer service to all internal and external stakeholders.
• Process incoming and outgoing mail and packages received.
• Identify invoices received in the mail, scan and name them to the appropriate folder for Finance Department.
• Identify checks received in the mail, copy and forward them to the Finance Department.
• Monitor and coordinate filling of postage meter, maintain stamp bag and order stamps.
• Proficient in Microsoft Office/Excel and a working knowledge of office equipment.
• Monitor and distribute faxes received.
• Primary first point of contact for all internal meetings/trainings and visitors to the Agency, directing visitors to the appropriate person or department.
• Check schedule daily for all conference room bookings and post signs for the day’s trainings/meetings.
• Opening and closing of front office.
• Support HR with various projects as directed to include but not limited to: leave administration and payroll.
• Prepare Tax Exempt Cards, etc. and distribute as necessary.
• Order, maintain and receive the entire agency’s office and janitorial supplies.
• Write, create and prepare various reports as assigned.
• Maintain confidentiality and positive demeanor while successfully managing multiple priorities simultaneously.
• Maintain program/staff mail boxes for changes/additions.
• Prepare for and participate in HR meetings as necessary.
• Other duties as assigned.
MARGINAL DUTIES AND RESPONSIBILITIES
• Attendance at administrative and other meetings as required.
• Provide recommendations to your supervisor regarding ways to improve the current systems.
• Observe all Agency policies and procedures.
• Accept responsibility and accountability as part of the position.
• Respond to employee information requests, as appropriate.
• Work cooperatively with all personnel.
• Handle all projects with a positive attitude.
Requirements
PHYSICAL AND MENTAL REQUIREMENTS:
• Organized, dependable and even temperament, good phone manner.

MINIMUM ACCEPTABLE QUALIFICATIONS:
• Minimum 1-year office experience, receptionist or administrative assistant experience preferred.
• High School Diploma or GED,
• Valid driver’s license.
• Must pass a comprehensive background check.
