Job Title: Academic Administrative Assistant / Office Manager

Position Overview
The Academic Administrative Assistant / Office Manager provides essential administrative, operational, and programmatic support to the School of Nursing. This role ensures smooth day-to-day functioning by supporting faculty, coordinating office operations, overseeing events, and acting as a liaison with other college divisions.
DUTIES/RESPONSIBILITIES:
Essential Functions
- Support the Dean and faculty of the School of Nursing with scheduling, correspondence, meeting coordination, and faculty evaluations.
- Assist with course scheduling logistics, syllabi collection, and faculty credential verification.
- Communications with a variety of college departments including Human Resources, I.T and the Provost's office
- Helping to organize and participate in special events.
- Manage and maintain student records in compliance with confidentiality standards and New York Board of Nursing requirements.
- Support coordination of events such as orientation, pinning ceremonies, open houses, and virtual engagements.
- Oversee the daily operations of the school of nursing, including but not limited to supply orders, facilities issues, equipment, and liaising with vendors
- Serve as the primary point of contact for callers, campus visitors, nursing students, and faculty.
- Preparation and organization of paperwork pertaining to majors, minor and courses
- Maintaining department website
- Manage student workers or graduate assistants as needed to support office workflows.
Non-Essential Functions
- Assist with work assignments and special projects within the department as requested

QUALIFICATIONS:
Required
- Associate’s degree or higher, preferably in business administration, higher education, or a health-related field.
- At least 3 years of relevant administrative experience, with preference for higher education or nursing programs.
- Proficiency with Microsoft Office, Google Workspace, and academic systems (e.g., registrar tools).
- Strong communication skills; exceptional organization and attention to detail.
Preferred
- Familiarity with New York State nursing accreditation standards and the New York Board of Nursing’s requirements.
- Experience in scheduling classrooms, simulation labs, or clinical placements.
- Knowledge of FERPA, ADA, and academic compliance best practices.
