The community event RSVP specialist plays a critical role in supporting the Advertised Community Education Program (ACEP lead source) by engaging with leads and assisting them with RSVP registrations for upcoming community events across the country. This role focuses on creating a positive, professional experience for prospective attendees, ensuring a smooth registration process, and fostering excitement about the event. In addition, the representative will assist with data entry of leads into Salesforce to ensure accurate tracking and follow-up.

Key Responsibilities:
  • Lead Engagement: Answer incoming calls from leads interested in community events, providing information about the event details, location, schedule, and RSVP process in a friendly, enthusiastic, and professional manner.
  • Event Registration: Guide leads through the RSVP and registration process, ensuring that their registration is completed accurately and efficiently while creating a positive, welcoming experience.
  • Data Entry: Input and update lead information into Salesforce, ensuring all data is entered correctly for tracking and follow-up purposes.
  • Follow-Up: Provide timely follow-up calls or emails to ensure leads have all necessary information about the event and to confirm their attendance. Respond to any additional inquiries they may have.
  • Customer Service Excellence: Create a positive and engaging interaction with every lead, building excitement for the event while addressing any concerns or questions they may have.
  • Collaboration: Work closely with the ACEP team to ensure leads are provided with the most up-to-date information and that events are adequately supported.
  • Reporting: Track and report on key metrics, including the number of RSVPs processed, follow-up actions taken, and any trends in lead feedback.
  • Event Coordination Support: Assist with any pre-event tasks as needed to ensure a seamless experience for both attendees and event organizers.

Qualifications:
  • Education: High school diploma or equivalent required. A degree in a related field is a plus.
  • Experience: Minimum of [X] years of customer service or call center experience. Experience in event coordination or working with community outreach programs is a plus.
  • Technical Skills: Familiarity with Salesforce or similar CRM tools for data entry and lead management. Proficiency in Microsoft Office Suite and other basic office tools.
  • Communication: Excellent written and verbal communication skills, with the ability to engage and excite leads about upcoming events in a professional and friendly manner.
  • Organizational Skills: Strong attention to detail and the ability to manage multiple tasks, including handling calls and inputting data, in a fast-paced environment.
  • Customer Focus: A passion for providing exceptional service, with a focus on building positive relationships with leads and ensuring they have a smooth RSVP experience.

Preferred Skills:
  • Experience working with Salesforce or a similar CRM platform.
  • Event coordination or community outreach experience.
  • Call center experience is a plus.
  • Bilingual skills (e.g., Spanish) are a plus.
