A Day in the Life
The preferred locations for the position are Irvine or Santa Ana CA, or Minneapolis, MN
We’re seeking a high-caliber Executive Business Partner who blends exceptional executive support with strategic project coordination to enable operational excellence, executive efficiency, and enterprise impact. This is not a conventional admin role—this is a next-generation strategic partner to the EVP and President of Medtronic’s Cardiovascular Portfolio.
You will act as a trusted advisor and extension of the executive, proactively anticipating needs, managing confidential, high-impact initiatives, and driving clarity and alignment across a dynamic, fast-paced organization. This role offers unique visibility into enterprise decision-making and provides an opportunity to generate insights that inform and influence strategic priorities.
Executive Enablement
- Serve as a high-trust partner to the EVP, ensuring priorities are advanced with discretion, speed, and precision.
- Proactively manage a dynamic calendar, board/society commitments, and travel logistics—anticipating conflicts and solving problems before they arise.
- Lead meeting preparation including agendas, pre-reads, talking points, and follow-ups, with an eye toward executive readiness and impact.
- Actively monitor and manage inbox and communications, drafting and editing correspondence with exceptional professionalism and cultural sensitivity.
Strategic Coordination & Confidential Project Oversight
- Partner with the EVP to manage confidential and sensitive initiatives, tracking milestones, stakeholders, and deliverables across the portfolio.
- Drive cross-functional collaboration by coordinating complex projects that span business units, functions, and geographies.
- Conduct research, gather input from multiple sources, and distill findings into executive-level insights that support informed decision-making.
- Maintain a strong pulse on enterprise activities and proactively surface issues, patterns, or risks that need leadership attention.
Business Operations & Office Management
- Ensure smooth day-to-day operations, from office management to workflow optimization, with a focus on efficiency and continuous improvement.
- Manage all aspects of domestic and international travel—including visa documentation, agendas, itineraries, and expense processing.
- Coordinate high-profile meetings, events, and engagements with external stakeholders, including societies, boards, and industry partners.
- Maintain organized, confidential records and serve as a point of contact for highly sensitive information, using discretion and judgment at all times.

Must Have: Minimum Requirements
- 10+ years of administrative and/or project coordination experience
- Experience supporting VP-level or above leaders
- High school diploma or GED
- Experience working in a global, matrixed organization
- Willingness to occasionally provide support outside of standard business hours, including evenings and weekends as needed
Must have the ability to travel up to 20% of the time.
Nice to Have
- Bachelor's or MBA degree
- 5+ years supporting executives in healthcare, medical device, or life sciences
- Strong project management skills and familiarity with project tracking tools
- Experience with Microsoft Office Suite, Teams, SharePoint, Workday, and virtual meeting platforms
- Demonstrated ability to create executive-ready insights and recommendations
- Previous Medtronic experience or familiarity with regulated industries
- Global/international coordination experience
