The School of Engineering Medicine in collaboration with Texas A&M College of Engineering, Texas A&M School of Medicine and the state’s top-ranked Houston Methodist Hospital offer an innovative medical school program called ENMED. This program was established to transform healthcare through translational interdisciplinary research, the development of medical technologies, and the development and training of “Physicianeers.” ENMED delivers a revolutionary blended curriculum with focus on innovation and entrepreneurship where students receive a Doctor of Medicine and Master of Engineering degree in the same four years.
What we want
The Program Specialist III for the School of Engineering Medicine (EnMed), under general supervision, performs moderately complex administrative and supervisory work related to key faculty-related functions to include hiring, promotion, tenure, annual review, and data management. This position ensures accurate faculty records, supports academic reporting, coordinates internal processes for faculty success, and facilitates compliance with university and system-wide regulations. The role collaborates across departments and committees to maintain operational excellence in faculty affairs.

Qualifications
Required Education and Required Experience
Bachelor’s degree or any equivalent combination of training and experience.
Four years of experience in office administration or project management in a higher education environment, to include a minimum of two years of experience in faculty affairs-related matters
Preferred Qualifications
Master’s degree
Four years of experience in faculty affairs in a higher education setting.
Knowledge, Skills, and Abilities
Working knowledge of spreadsheet, presentation, and word processing software programs. Ability to multitask and work cooperatively with others. Oral and written communication skills.
Responsibilities
Faculty Hiring
Responsible for the administrative coordination of faculty recruitment and hiring: Manage the faculty hiring process using the faculty online hiring workflow system; includes development of offer letters in collaboration with Department Heads, distributing and collecting required paperwork to prospective hires, checking for accuracy and routing all faculty hiring paperwork through the appropriate Department Heads and Deans for review and approval and uploading approved forms into the hiring workflow system.
Manage prospective faculty interviewing process with deans.
Maintain accurate records on faculty recruiting, hiring, and partner placement.
Assist with joint, adjunct and affiliate faculty appointments including Statements of Expectation between EnMed and college partners
Assist with preparing reappointment letters
Create and maintain confidential faculty files according to record retention rules.
Faculty Promotion, Tenure, and Annual Review
Responsible for the administrative coordination of the tenure, promotion, and annual review process of all school faculty.
Train/mentor departmental support staff in processes for dossier preparation and submission.
Review dossiers for promotion, tenure with promotion, mid-term tenure review, and tenure on arrival for submission and transmittal to Faculty Affairs.
Manage meetings and workshops related to these processes as requested.
Provide school-level administrative support for the faculty annual review process.
Communicate to department heads and administrators changes in university/school guidelines as they relate to faculty.
Serve as the liaison with departments, offices, and affiliates to ensure accurate and up-to-date faculty data.
Manage and maintain databases of faculty credentials, appointments, and official documentation.
Faculty Data
Maintain the school’s faculty database, develop, and produce routine and ad hoc reports
Perform analyses; generate reports, charts/graphs, and presentations based on the data
Review the annual faculty reconciliation data provided by Faculty Affairs
Coordinate completion of credentialing requests/processes with departments/programs
Update and review IPEDS faculty data
Ensure compliance with Texas A&M University policies, school policies, and accreditation standards.
Interprets policies, rules, and regulations, and ensures they are followed.
Admin Support
Support for all faculty development trainings, workshops, conferences, receptions, and award programs. Assists with trainings and development of materials for presentations.
Provide training to faculty and staff on faculty activity systems and evaluation procedures.
Plan and coordinate moderately complex logistical and administrative support for special events, meetings, or long-term initiatives as needed.
Coordinate faculty award nominations, documentation, and presentations.
Assist in resolving highly sensitive and confidential administrative matters such as open records requests and faculty grievances.
Maintain and update school policies on the websites.
Draft and distribute communications and announcements related to faculty affairs.
