Job Description:

Office management and support for the department. Prioritizes and performs work independently; manages numerous and diverse tasks with confidentiality, self-motivation, problem solving, interpersonal, and conflict resolution skills under continual deadlines while interacting with a broad range of personnel and public. Develops and promotes good community relations among various community members and district clientele.

ESSENTIAL PHYSICAL REQUIREMENTS:
• Occasional lifting five (5) to twenty (20) pounds
• Frequent sitting and standing
• Occasional bending, squatting, reaching, and stooping

Work Experience:

Working in fast-paced office environments

Intermediate (or higher) proficiency level with:

-- Google Workspace (Drive, Gmail, Calendar, Sheets, Docs, Slides & Sites

-- Microsoft products (Word, Excel & Powerpoint)

-- Adobe Acrobat

  

Responsibilities:

--- Assist with the development of various projects, special events, and process improvements. 


--- Assist with review and analysis of purchase orders, pay vouchers, expense records, supply and material inventories and department budget.


--- Perform clerical support including: composing and editing correspondence, scheduling meetings, managing calendars, maintaining files, photocopying, preparing presentation materials, coordinate logistics for various conferences and meetings


--- Assist with the hiring process for training department staff, applicant tracking system, set up interviews, finger prints, physicals and final paperwork.


--- Support Training staff through the creation and maintenance of digital files through the use of systems such as Google Workspace: Drive, Sheets, Docs, Sites and Gmail 


--- Prepare and monitor spreadsheets containing expiration dates used to schedule training events and classes 

--- Assist with tracking and updating staff compliance records as well as scheduling appointments 


--- Serve as a resource to administrators, staff and the community

    

Responsibilities:


--- Serve as a resource to administrators, staff and the community.


--- Coordinate the hiring process for all new hires, applicant tracking system, set up interviews, finger prints, physicals and final paperwork.


--- Process various purchase orders, vouchers, invoices, supply and material inventories.


--- Perform clerical support including: composing and editing correspondence, scheduling meetings, managing calendars, maintaining files, photocopying, preparing presentation materials, coordinate logistics for various conferences and meetings,


--- May assist with bookkeeping and financial management software.


--- Manage use of purchase orders, pay vouchers, expense records, supply and material inventories; may prepare proposed department budget for approval, monitor department budget.


--- May attend meetings, prepare agendas, record and produces minutes and materials; follow up as needed. May present department information to small groups.


--- Perform other related duties as assigned or requested.


--- Assist with the development of various projects, special events, and process improvement projects.


--- Respond to telephone calls, route calls and take messages.

Full Salary Range:

$22.74 USD - $36.71 USD Hourly
  • All salary amounts listed above are based on a full-time (1.0) FTE. If applicable, part-time salaries will be prorated according to the assigned FTE.
