The Team The Operations and Planning Team is tasked with designing and implementing processes that enhance decision-making and support team priorities, collaboration, and goal achievement. This includes managing the Annual Planning process to align activities with available funding, facilitating the success of a hybrid work approach by overseeing in-person events and hybrid-related policies, and driving significant organization-wide projects. This team collaborates extensively across the organization, particularly with the Human Resources, Information Systems and Technology, JEDI, and Communications teams. The **Operations and Planning Associate** will report to the **Senior Director of Operations and Planning.** About The Role Our client seeks a collaborative and organized Associate to aid in operationalizing a new strategic plan. In this role, the Associate will work closely with Operations functions to develop clear plans that align ways of working with Justice, Equity, Diversity, and Inclusion (JEDI) commitments and a refreshed Strategic Plan. Responsibilities may include developing specific requests and recommendations to support Operations, refining the Annual Planning Process, and supporting organization-wide projects and Working Groups. The ideal candidate will demonstrate a collaborative spirit and possess a strong interest in Non-Profit Operations. They should be learning-oriented and eager to engage with experts across the organization to understand team needs and objectives. Essential Tasks Operations and Planning ▪ Provide project management support for key operations initiatives, including the development of an Operations plan accompanying the new strategic refresh. ▪ Prepare meeting agendas, take notes, and track follow-ups for department and cross-department meetings. ▪ Assist in drafting and/or reviewing essential documents, guidance, and policies. ▪ Conduct research, analysis, and material development for the Operations and Planning team. ▪ Cultivate positive relationships with program teams and other staff to encourage timely responses and facilitate strong connections in pursuit of the shared mission. ▪ Collaborate with Operations and Planning colleagues to analyze and communicate results from key internal and external processes, including staff surveys and the Annual Planning process. Administrative ● Provide general support by scheduling internal and external meetings, maintaining files, and performing other administrative tasks. ● Manage grants and contracts related to the Operations team as needed. ● Provide general administrative support and assist with other assigned projects. Required Qualifications ▪ A bachelor’s degree or equivalent. ▪ 2-3 years of experience in an Operations, Systems, or Finance role; prior experience in a grant-making environment is a plus. ▪ Impeccable attention to detail along with strong organizational, analytical, and critical thinking skills. ▪ Proficiency with or ability to quickly learn new technologies. ▪ Excellent verbal and written communication skills, able to engage in a friendly, patient, and professional manner with various departments and foundation partners. ▪ Experience providing high-level customer service to clients or partners is a plus. ▪ Ability to work effectively and efficiently (both virtually and in person) with minimal supervision, and collaboratively as part of a team at all levels. ▪ Proven success in project management, multi-tasking, and meeting deadlines. ▪ Willingness to take initiative, problem-solve, and work cross-functionally to support team goals. ▪ Commitment to the organization’s mission and values. ▪ A commitment to fostering a diverse, inclusive, and equitable work environment. This position is classified as US Flexible. Exceptional candidates may work from the SF office or other locations, with geographic differentials applied to compensation based on local cost of labor.
