ASSISTANT FOR EDUCATION SERVICES
QUALIFICATIONS:
- High School dipolma/GED
- Experience working in public school district office of special education preferred
- Working knowledge and competency with student information system software, NJ SMART, etc., preferred
- Strong verbal, written communication and interpersonal skills.
- Strong organizational and analytical skills.
- Demonstrated office technology, software skills including proficiency in the use of Microsoft Word, Outlook, Excel, Power Point, and other cloud-based software.
- Pass a Criminal History Review under the provision of P.L. 1986, C116, and P.L. 2018 Chapter 5.
- Pass a physical examination in accordance with statute and board policy, NJSA 18A:16-2.
- Proof of U.S. citizenship or resident alien status.
- New Jersey Resident per Jersey First Act, N.J.S.A. 52:14-7 (L.2011, Chapter 70).
- Such additions and alternative experiences to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Director/Supervisor of Instruction or designee
JOB GOAL: To perform job duties and responsibilities consistent with federal, state and local authority mandates; NJ DOE mandates; CCESC policies; district goals, core values, and departmental requirements.
PERFORMANCE DUTIES AND RESPONSIBILITIES:
- Reports to work on time, consistent with work schedule and departmental requirements, and follows all daily reporting procedures.
- Remains on duty until all open, critical, time sensitive issues are resolved, or communicates those open issues consistently and regularly throughout the day with department staff or supervisor.
- Attends all departmental and ad-hoc meetings, professional development, etc.
- Completes all mandatory trainings.
- Assists and collaborates with staff and administration in planning and problem solving for all aspects of operations.
- Provides excellent customer service and collaborates in problem solving stakeholder inquiries.
- Performs any duties associated with a designation of Essential Employee, including during public health emergencies or other unanticipated events where outside agencies and entities such as federal, state or local governments, departments of health, etc., mandate operational changes that impact CCESC operations.
- Maintains records for all Education/Special Education department employees as determined by the supervisor or director, including but not limited to school assignments, schedules, certifications, professional development records and any other records deemed appropriate by supervisor or director.
- Maintains records for all students who receive services from the Commission.
- Maintain records for all student programs and services.
- Prepares, department purchase orders and maintains records to verify deliveries of supply orders and recommends payment to supervisor.
- Prepares, mails and maintains records, reports, and supporting documentation in accordance with PL 192/193 and NJAC 6A:14 for services performed by Independent Contractor and Commission employees.
- Performs data entry of 407-1 applications for PL 192-193 programs.
- Responds to and maintains records of all inquiries and communications regarding 192/193 services, related services, homebound instruction and other Commission programs.
- Maintains electronic files for all computer related activities.
- Provides primary phone coverage for the Education/Special Education Office and back-up coverage when and where needed.
- Prepares and disseminates reports and other documents as required.
- Performs all clerical and office tasks as necessary including data entry, record keeping, correspondence, communication with partner schools, contractors, etc., and maintenance of all 192/193 programs in Realtime SIS (or current system).
- Shares duties and works collaboratively with the Assistant for Special Services when workload or timelines require increased output.
- Performs any other tasks or duties assigned by the Superintendent, Director of Instruction and/or Supervisor of Special Services and/or Supervisor of Related Services.
- Performs all other duties as assigned by the department leader, supervisor, business administrator, superintendent, or designee.
TERMS OF EMPLOYMENT: Twelve-month work year as determined by the Board of Directors. Work schedule, assignment, and compensation to be established by the Board of Directors where applicable. For certificated professionals included in the Article of Recognition in the agreement between the CCESC and CCESEA, terms will be in accordance with the current negotiated agreement.
EVALUATION: Performance of this job will be evaluated annually in accordance with provisions of state law, administrative code, and Board policy, and where applicable, with the current negotiated agreement between the CCESC and the CCESEA.
