JOB SUMMARY

This position reports to, and works closely with, the Library Director at the Simi Valley Library in supporting the day-to-day operations of the branch.


As the Administrative Associate, you will play a key role in maintaining accurate financial records and supporting the library’s accounting needs. This includes processing invoices, coding credit card transactions, handling check requests, tracking petty cash, and assisting with budget management. You will also prepare monthly reports, organize receipts and supporting documentation, and help ensure the library’s financial operations run effectively and on time.


In addition to the bookkeeping responsibilities, you’ll provide general administrative support by maintaining records and calendars, preparing correspondence, and assisting with grants, projects, and special events. You’ll also gain experience with library systems and software that keep our services moving forward.


This position is ideal for someone who is detail-oriented, comfortable with numbers, and eager to use their organizational and bookkeeping skills to support the library’s mission of serving the Simi Valley community.


Employment Type: Full-Time, Non-Exempt

Hours per Week: 40

Hourly Rate: $17.75


PRIMARY RESPONSIBILITES

An individual must be able to perform each essential duty and responsibility satisfactorily.

  • Assist and provide administrative services such as attending meetings, coordinating preparation of administrative materials and coordinating training
  • Maintain records, files and calendars
  • Prepare Board correspondence and reports such as monthly statistics
  • Collect and organize data for grants and projects, as required
  • Order supplies as needed
  • Assist with operations questions. 
  • Project coordinator for special events
  • Role may require maintenance of account receivables and expenses. This includes payment of EDI and miscellaneous invoices, credit card coding, check requests, petty cash disbursement, reviewing of expense reports, provide supporting receipts, update and manage multiple budgets
  • Role may require becoming proficient in Polaris Integrated Library System (ILS) and in Edelweiss Software 
  • Follow all legal and policy requirements related to patron privacy and custodianship of patron records
  • Assist Manager and Supervisor with additional tasks as needed



Requirements

JOB REQUIREMENTS

  • An individual should possess the knowledge, skills, and abilities listed and meet the amount of education, training and/or work experience required
  • HS Diploma or GED required
  • Administrative experience required
  • Must have prior bookkeeping and accounting experience
  • Must be detail oriented and have excellent communication skills
  • Solid organizational skills
  • Applicants must be proficient in Microsoft Office (Including Excel, Word, and Outlook)
  • Ability to work well independently and within a team
  • Exercise sound judgment and maintain appropriate confidentiality
  • Other duties as assigned
