Overview:

INTECON, LLC is seeking a a highly organized and detail-oriented Program Management Support Specialist to provide case management and administrative support to the Defense Counterintelligence and Security Agency (DCSA), Privacy, Civil Liberties, and FOIA Office (PCLF).

The selected candidate will play a critical role in the receipt, processing, and tracking of FOIA and Privacy Act requests, ensuring compliance with federal regulations while supporting PCLF leadership in managing workflows, reporting metrics, and facilitating stakeholder communications.

Roles and Responsibilities:

  • Request Processing & Case Management
    • Receive, analyze, and categorize incoming requests in accordance with established PCLF standards.
    • Accurately enter and track requests in the Case Management System (CMS).
    • Provide prompt acknowledgments and notifications to requesters.
  • Stakeholder Communication
    • Maintain professional, timely communication with requesters, providing status updates and requesting additional information as needed.
    • Support government information specialists in coordinating responses to congressional, public, and internal stakeholders.
    • Meet established quality and service standards for all communications.
  • Case Preparation & Documentation
    • Prepare complete, accurate, and organized case folders and supporting documentation for government review.
    • Ensure case materials comply with FOIA, Privacy Act, and PCLF standards.
    • Assist in drafting cover memos, correspondence, and supporting documents.
  • Records Management & Compliance
    • Manage adjudication and case records in compliance with DoD retention schedules.
    • Support accurate filing, storage, and disposal of records.
    • Maintain strict adherence to DCSA and federal information security protocols.
  • Administrative Support to Leadership
    • Maintain rosters, organizational charts, and office reference materials.
    • Assist with administrative packages (e.g., awards, training, recognition).
    • Provide day-to-day executive support to PCLF leadership.
  • Performance Monitoring & Reporting
    • Track workflows, processing times, and request volumes.
    • Prepare compliance and workload reports for leadership review.
    • Identify and recommend process improvements to enhance efficiency.

Clearance Requirements:

  • Active Top-Secret (TS) Clearance is required; Sensitive Compartmented Information (TS/SCI) Eligibility is preferred.

Qualifications:

  • High School Diploma or equivalent.
  • Minimum of 2 years of relevant administrative, case management, or technical support experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams), Adobe Acrobat, and familiarity with workflow/case management tools (e.g., SharePoint, ServiceNow, CMS, CATMS).
  • Strong written and verbal communication skills, with the ability to prepare professional correspondence and interact effectively with senior stakeholders.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
  • Experience handling sensitive or classified information; knowledge of FOIA, Privacy Act, or records management is preferred.
  • Prior experience supporting FOIA, Privacy Act, or civil liberties offices in a federal environment preferred.
  • General understanding of DoD security and administrative policies is preferred.
