QUALIFICATIONS:
- High school diploma or GED equivalent required; some college coursework preferred, or executive administrative office experience.
- Minimum of five (5) years of administrative assistant experience, with at least three (3) years in a public education setting preferred.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, project management software, and district systems such as eFinance, eSchoolPlus, Applicant Tracking System, and Laserfiche.
- Demonstrated excellence in verbal and written communication, including the ability to draft professional correspondence, reports, and presentations.
- Strong organizational and time-management skills, with the ability to prioritize multiple tasks, meet deadlines, and maintain attention to detail.
- Proven ability to manage complex schedules, coordinate high-level projects, and facilitate effective communication across departments.
- Experience handling confidential and sensitive information with discretion and integrity.
- Ability to work independently and collaboratively, demonstrating initiative and problem-solving skills.
- Strong interpersonal skills and the ability to build and maintain positive working relationships with district and school personnel, parents, and community stakeholders.

SALARY/PAYGRADE:
$53,260 – CP9
Salary Range (based on experience) as set by the Board of Trustees for the school year
ESSENTIAL FUNCTIONS:
- Provide comprehensive administrative support to the Chief Academic Officer / Associate Superintendent, including calendar management, scheduling, and meeting coordination.
- Draft, edit, and prepare professional correspondence, reports, and presentations for internal and external stakeholders, including the Texas Education Agency, campus leaders, and Board members.
- Demonstrate a thorough understanding of Curriculum & Instruction and Accountability policies, procedures, and best practices.
- Utilize advanced Excel skills to manage and analyze data, including the use of formulas, pivot tables, charts, and data visualization tools.
- Monitor and reconcile departmental budgets, staffing allocations, and expenditures.
- Oversee ID badging coordination to ensure timely access for department staff.
- Coordinate and manage high-priority projects, including preparation for school board meetings and strategic initiatives.
- Prepare and submit Board agenda items in accordance with district guidelines.
- Process public information requests accurately and in a timely manner.
- Assist in planning and executing district-wide and departmental events.
- Maintain confidential employee records and ensure compliance with data privacy standards.
- Manage inventory, budget allocations, and procurement processes.
- Maintain effective working relationships with district and campus staff, parents, and the general public.
- Handle sensitive information with discretion and uphold a high standard of confidentiality.
- Perform other duties as assigned by the Chief Academic Officer / Associate Superintendent.
