Salary: $21.63-$27.40/ hour. Salary is dependent on experience and qualifications. 

Position Summary      

The EDUCAUSE Corporate Engagement team is responsible for the development, sale, and fulfillment of a vast set of partnership and marketing services to companies that seek to promote and market their IT-related services and products to colleges and universities. The Operations Coordinator will provide coordination services to the Corporate Engagement Sales team and is responsible for the timely coordination and logistical fulfillment of corporate participation. In addition, this position works closely with the Senior Operations Manager and Marketing team to implement new products and services for EDUCAUSE corporate customers. Provides excellent customer service and resolves customer issues in a timely and empathetic manner. Facilitates relationships with and coordinates execution of purchased products for corporate customers in conjunction with EDUCAUSE internal departments.  

Essential Duties and Responsibilities 

Supervisory Responsibilities

  • None  

Customer Service Support:  

  • Provides personalized fulfillment service to high value customers including, as assigned, Mission and Strategic Partners. 
  • Provides excellent customer service for corporate inquiries and resolves customer issues in a timely and empathetic manner.  
  • Helps answer questions and resolve issues through independent investigation or by connecting customers to the right person at EDUCAUSE; tracks correspondence in necessary ticketing system.  
  • Coordinates cross-departmentally to ensure collaboration and communication for successful execution of purchased products for corporate customers. 

Operations: 

  • Establish shopping carts for all Purchased Opportunities. 
  • Invoices and processes orders 
  • Manages contract management from initial negotiation process through system upload, signatures, and storage of executed agreement. 
  • Drafts and sends custom confirmation for purchased engagement opportunities. 
  • Responsible for execution of opportunities of engagement for corporate participants and successful fulfillment of promised benefits. Including: 
    • Collection of deliverables (logos, directory information, other content) from customer via communications to ensure customer is on target with meeting deliverable deadlines. 
    • Distribution of those deliverables to necessary internal parties and stakeholders and tracking and monitoring through to completion of engagement opportunities (e.g. materials needed to fulfill Industry Insights Webinars, Industry Insights Articles, Demo Days, and other similar products) 
    • Reviewing final materials to confirm recognition within deliverables, email marketing campaigns, and promotions. 
    • Fulfillment of advertising engagements including providing advertisers with post marketing production pieces and analytics. 
    • Delivering marketing offerings included in benefits packages. 
  • Generates and maintains various contact lists for communicating with the appropriate corporate audience. 
  • Assists with tracking and collection of outstanding balances, specifically Annual Conference booth payments. 
  • Works with accounting to process cancellations and/or redirection of funds that come in for corporate engagement.  
  • Maintains and updates corporate databases and tracking systems including: 
    • Inventory of corporate sales, sponsorships, advertising, and partner opportunities. 
    • Partner Program documentation, tracking, and product fulfillment. 
    • Purchased Opportunity tracking. 
  • Assists as needed with metric/reporting needs for sold products 
  • Actively participates in implementation of process improvements. 
  • Supports the evolution of and successful operations of Corporate Engagement programs (e.g. Emerging Tech, Annual Partner Summit, etc.) and events (e.g. EDUCAUSE Annual Conference, NERCOMP, etc.) as directed. 
  • Executes tasks with attention to detail, including following SOPs for processes and procedures to ensure accuracy of product fulfillment 

Event Execution and Management: 

  • Executes corporate client assistance and operational fulfillment for exhibitors, partners, and sponsors during show cycle for over 250 companies.  
  • Independently manages the operational fulfillment of the Cybersecurity Privacy Professionals Conference and/or Northeast Regional Computing Professionals event from pre-show, onsite and post-show responsibilities. 
  • Executes pre-show activities as assigned, including: 
    • Registration testing, documenting errors and change requests, and following-up, to confirm corrections are completed. 
    • Maintaining floor plans once booths are sold, for cancellations, additions, and booth changes.  
    • Initiating and delivering pre-show exhibitor, partner, and sponsor communications. 
    • Collecting and processing required materials from exhibitors, partners, and sponsors including Certification of Insurance, Exhibitor Appointed Contractor forms, and corporate directory assets. 
    • Entering appropriate customer recognition status and directory assets into necessary backend databases and systems. 
    • Tracking exhibitor orders form event vendors to coordinate follow-up ensure successful execution of registration, lead retrieval, and show management. 
    • Tracking registration and badge use and communicating with exhibitors, partners, and sponsors to ensure full use of benefit. 
    • Submits and reviews corporate signage for accuracy and quality control for assigned meetings and/or products. 
    • Provides, reviews, and edits corporate content in all applicable web and mobile content and marketing communications.  

 Association Service and Support 

  • Represent EDUCAUSE in a professional manner at all times; engage with co-workers, volunteers, and members in a civil, caring, respectful way; and advance the mission and vision of EDUCAUSE  
  • Supports the professional development of others in their work to advance the mission and vision of EDUCAUSE. 
  • Participate in EDUCAUSE events and activities as needed. Travel may be required to support EDUCAUSE conferences/events, research team operations, and external events relevant to the position.              
  • Act as a departmental liaison with employees, members, volunteers, volunteer groups, and clients. 
  • Supports members in a manner that facilitates their growth, engagement, and enhances their EDUCAUSE experience. 
  • As a frontline user of EDUCAUSE systems and data services, complies with data quality standards; adheres to data governance policies, procedures, and processes for ensuring data integrity.  
  • May act as the application or data collection lead for the department.

Qualifications

Education and Experience 

  • Required Associate’s Degree in Business, Communications, or Marketing.   
  • Requires a minimum of three years’ experience in trade show, meeting planning, or similar fields 
  • Combination of two years of college plus work experience will be considered.

  • Demonstrates a sense of ownership for responsibilities, an aptitude for the work, and a willingness to learn from management and others. 

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.  

Remote Work Requirements 

  • Scheduled working hours either in the employees time zone or EDUCAUSE core working hours or core working hours to be determined with the supervisor.  
  • Be available and responsive during scheduled work hours.  
  • Any time off or change in working hours must be pre-arranged according to department guidelines and consistent with the rules applicable to employment (e.g., vacation, sick, personal, leave of absence).  

Travel Requirements:  

  • 5%
