ABOUT THE ROLE
In the role as Executive assistant you will support people from the management team based in Lisbon. To succeed in this role you need to be a proactive problem-solver, have strong organizational skills and be used to operating in a fast paced environment. Our Executive assistant team consists of 4 people spread around our offices in Europe and Brazil

What you'll do
Ensuring the Executive Managers can focus on their daily hectic work by ensuring a smooth aid on everything around themEnsure the Executive feels well prepared for all interactions and has the correct documents for internal / external meetingsCoordinate complex, ever changing calendarsCoordinate on-site/off-site meetings and team events, ensuring to stick within budgetCreate presentations for internal and external meetingsCoordinate point-to-point travel needs (car, flight, hotel, etc.) Assist the Management Team with administrative tasks Reporting of expenses
Who you are
Have at least 5 years of working experience as an Executive Assistant (or PA)Keeps calm under pressure and able to find solutions at short noticeGood judgement and ability to maintain confidentiality in all aspects of the roleExperience of committee and board meeting administration Strong ability to prioritize and re-prioritize in a dynamic fast paced environmentPassionated about your work, a true “service soul” and are always aiming to exceed expectationsStrong team player with ability to work independentlyStrong social skills and high integrityWell organized and a great coordinator with an eye for detailCreative self-starter and never reluctant to step in and get things donePreferably previous experience from the hospitality sector, but most importantly, you have the instinct needed to provide great service and thrive in challenging situations as well as on making things happenFluent in verbal and written English
