Location: OBGYN Offices throughout Buffalo, Depew, Williamsville, and East Amherst 

Position Type: Full-time, Monday–Friday (Day shifts, no nights, weekends, or holidays!)

What you will be doing:

The primary purpose of this position is to work directly with management to provide daily oversight of surgery schedules and ensure smooth office operations.

  • Coordinate all aspects of surgical and procedural scheduling, including prior authorizations, insurance verification, patient preparation, provider and equipment coordination, and documentation management.

  • Coordinate and implement training and support for new and existing staff on office procedures within the department.

  • Prioritize and delegate daily assignments to maintain workflow, making adjustments as necessary.

  • Communicate changes to provider schedules, patient appointments, and office operations to staff.

  • Monitor staff performance and provide education, tools, and training for success.

  • Utilize problem-solving skills to resolve office and staff issues, escalating to management when necessary.

  • Coordinate monthly department schedules, manage staff time and attendance, and approve timecards and PTO requests.

  • Collaborate with management on employee performance and corrective action processes.

  • Conduct and assist with annual performance evaluations.

  • Participate in candidate interviews with the management team.

  • Perform first-level triage and investigation of patient complaints, escalating as needed.

  • Provide exemplary customer service to ensure a positive patient experience.

  • Perform other duties as assigned by management.

Additional Responsibilities:

  • Manage surgical scheduling responsibilities.

  • Provide support and coverage to corresponding departments as needed.

  • Assist management with office process flow and projects.

  • Identify and support process improvement efforts.

The education and experience you need

  • Education: High school diploma or GED required; Associate’s degree preferred.

  • Experience: 3–5 years’ experience in a medical office environment; surgery scheduling experience a plus.

  • Specialized Knowledge: Understanding of medical office operations, insurance, and medical terminology.

  • Strong communication, organizational, and problem-solving skills.

The pay range listed is a good faith determination of potential base compensation that may be offered to a successful applicant at the time of posting. When determining pay, several factors will be considered including but not limited to location, specialty, service line, years of relevant experience, education, professional credentials, internal equity, and budget.
