About the Department

EMPLOYMENT TERMS: Full-time position

PRIMARY DUTY: The Office Manager is responsible for providing quality customer service for the Horace Mann Laboratory School & Leet Center, performing office tasks, and collaborating with University personnel.

Position Duties

ESSENTIAL FUNCTIONS:

1. Serve as a friendly, customer service contact point for families, students, staff, and visitors to Horace Mann, Leet Center, and the Infant/Toddler Center (ITC)

2. Assist the Director with multiple budgets and budget transactions; These may include but not be limited to billing for tuition, childcare, and field trips, direct pay vouchers, travel vouchers, purchase requisitions, department reports, forms, and other materials

3. Coordinate Horace Mann & Leet Center operations to include overall customer service, maintaining confidential records and files, and monitoring office supplies

4. Track and monitor student attendance and confidential student records

5. Provide assistance to the Horace Mann, Leet Center, and ITC staff when needed

6. Coordinate the school lunch program to include assistance with lunch time and DESE reports

7. Assist the school nurse to manage student health information and provide health assistance in the absence of the nurse

8. Assist the Director with the coordination of recruitment of substitute teachers, graduate assistants, and student employees; Assist with student employment paperwork

9. Assist the Director and/or Chair of Education to plan, organize, and schedule special events including but not limited to parent advisory council (PAC) meetings, staff retreats, school activities, recruitment activities

10. Assist staff in developing, maintaining, distributing marketing resources, website content, and social media outlets

11. Assist the Director, Dean, Chair of Education, or Horace Mann & Leet Center personnel as needed

12. Perform other duties as assigned

Minimum Qualifications

REQUIREMENTS:

Education: High school diploma

Experience: At least one year of experience working in an office environment; Computer experience in Microsoft Office, including Word, Excel, and Access; Experience in budgets, financial information, and spreadsheets

Skills: Accuracy in spelling, mathematics, and grammar; Good customer service skills; Good communication skills; Good organizational skills; Ability to multi-task; Ability to manage stress; Flexibility

Other Qualifications

WORKING CONDITIONS: This position will work in an office environment form the hours of 7:30 a.m. to 4:30 p.m. with a one-hour lunch break.

SUPERVISORY RESPONSIBILITIES: Effectively supervise student employees

EQUIPMENT/MATERIALS USED: Standard office equipment including phone, fax, copy machine, computer, scanners, typewriter

TYPICAL PHYSICAL DEMANDS: Ability to lift up to 20 pounds
